Your role at Baxter:

Directly supports the Operations Staff by performing multifaceted and specialized duties, including order allocation, shipment confirmation and customer support. Maintain various databases which relate to operations, enter new data and ensures data integrity, reconcile all data discrepancies, and prepare all documents and physical assignments vital for shift to perform efficiently.

What you'll be doing:

  • Along with Team Lead, prepares all documents and physical assignments vital for the shift to perform efficiently and productively every day.

  • Cross trains and assists management with back up of Operations Specialists for other departments within the Facility.

  • Help in achieving departmental objectives pertaining to safety, operations, and financial performance.

  • Assist in any training for other back-up functions within the receiving department.

  • Handle multiple databases related to incoming operations. Input new data and ensure data accuracy. Resolve all data inconsistencies. within JDE and WMS (Swiss log).

  • Collaborate with other departments and management to identify and address customer needs/resolve issues related to incoming shipments.

  • Schedule critical receipts and ensure timely resolution upon prioritization.

  • Search and retrieve FDA & Customs Releases for Overseas Containers before posting (pertaining) receipts via Danzas website & Carmichael, Expeditors and DHL.

  • Validate that product being received from 3rd party logistics are approved vendors on Trackwise.

Receiving Specific Duties

  • Respond to inquiries from key collaborators in relation to receiving status and tracking within 2 hours from receipt.

  • Answer all incoming calls and inquiries

  • Plan the receiving department's workload for the next day before end of shift

  • Release and print shipping daily workload in support of Team Lead

  • Maintain and update Tier I Board with key performance indicators for Receiving with Team Lead and Supervisor

  • Run reports as needed for area

  • Prepare month-end report for department as needed

  • Research receiving failures

  • Request and reprint/ fax missing packing lists from vendors/origin

  • Responsible for creating receipts - via packing list obtained from trailer

  • Create code/lot numbers from packing list & verify Holds via FCA Tracking System

  • Confirm trailer information via Trailer Que to access arrival date & time

  • Access Vendor Approval via Global Supplier Quality (GSQ) for all Vendors

  • Confirm product Expiration Date is acceptable

  • File all receipts

  • Problem receipt resolution to include shipments from outside Vendors, no po#, incorrect po#, no packing list

  • Get along with team in resolving discrepancies, research PO discrepancies via JDE - retrieve appropriate documentation & assist with resolution

  • Ensure Baxter requirements are notated on packing list (code/lot/qty...)

Retain file for pre-notification packing list via email

  • Assist in scheduling LTL appointments

  • Adjust estimated date of arrivals

  • Assist in maintaining departmental goals

  • Assist in training for Back-ups

  • Submit Daily Summary Report

International Specific Duties

  • Schedule loads per the defined Shipping Schedule
  • Create and print documents vital for material handlers to use for assembling shipments

  • Schedule Inbound Receipts

  • Perform quality hold checks for all inbound finished good receipts

  • Coordinate and report on all FCA's and Local Holds

What you'll bring:

  • High school graduate or equivalent. Associate's or Bachelor's preferred.1-5 years' experience Order Management/ Customer Service.

  • Experience working with a Warehouse Management System 3+ years of experience in a distribution environment.

  • Experience Operating Powered Industrial Equipment preferred.

  • Strong interpersonal, leadership and communication skills.

  • Must be able to work independently.

  • Computer proficiency in Microsoft Office and the ability to use enterprise

  • Must have excellent communication skills both oral and written along with confirmed ability implement change.

  • Must be able to prioritize and handle a number of ongoing issues, meet deadlines, and connect with senior management.

  • Strong analytical skills and experience with spreadsheets and word processing applications, required.

  • Proven record of interpersonal and leadership skills with ability to interface well with other departments and lead optimally and efficiently in a team environment.

We understand compensation is an important factor as you consider the next step in your career. At Baxter, we are committed to equitable pay for all employees, and we strive to be more clear with our pay practices. The estimated base salary for this position is $44,800.00 - $61,600.00 annually. The estimated range is meant to reflect an anticipated salary range for the position. We may pay more or less than of the anticipated range based upon market data and other factors, all of which are subject to change. Individual pay is based on upon location, skills and expertise, experience, and other relevant factors. This position may also be eligible for discretionary bonuses, commission, and/or long-term incentive.
