Position Highlights The Internal Communications Specialist supports the development and implementation of effective and compelling internal communications for the University of Arizona, with a strong emphasis on creating and distributing content as part of delivering strategic communications plans. Reporting to the Assistant Director of Internal Communications, this position is responsible for providing project-based internal communications support and serves in an advisory role to campus partners across various divisions.

This role plays a key support function for central internal communications in delivering strategies and tactics that inform employees about institutional priorities and initiatives. This work includes writing and distributing messages across institutional channels, including mass emails, publications and websites. The internal communications specialist supports the development and execution of internal communications plans within established strategies, processes and guidelines, and works closely with campus partners to help guide them to appropriate internal communications approaches, channels and content formats.

Duties & Responsibilities

Content creation and dissemination:

  • Research, develop and write internal communications content, including but not limited to: emails, memos, news posts, website content, and other communication materials.
  • Edit and proofread content submitted by campus partners for clarity, accuracy, tone and adherence to university style, messaging and accessibility standards.
  • Ensure consistency and alignment of communication products with institutional messaging.
  • Build, format and distribute content through a variety of platforms and channels (primarily digital) and create visually compelling layouts.
  • Create communication products that follow brand standards and are engaging and accessible.

Communications planning:

  • Work proactively to develop an understanding of key campus partners' unit functions, processes and initiatives.
  • Receive, assess and coordinate requests from campus partners for communications support and provide timely guidance.
  • Develop and implement project-based internal communications plans within established strategies and guidelines, including detailed timelines and deliverables.
  • Coordinate planning, scheduling and distribution of internal communications across channels.
  • Collect and analyze communication metrics to evaluate the effectiveness of internal communications activities and identify opportunities for improvement.

Project management, processes and best practices:

  • Use project management tools to track projects from inception through completion.
  • Support the implementation of central guidance, standard operating procedures, workflows, and processes, including timely content review and approval.
  • Stay informed about the latest trends in communication and marketing and adapt approaches to incorporate emerging best practices.
  • Monitor analytics, produce reports and analyze data to inform and enhance effectiveness of current internal communications practices.

Collaborative activities:

  • Serve as a point of contact for campus partners seeking guidance on internal communications, helping connect them to appropriate channels, content types and workflows.
  • Engage with diverse constituents across campus to support the implementation and reach of communications plans.
  • Build relationships and collaborate with colleagues across campus and within University Marketing and Communications to align internal communications with institutional and divisional priorities.
  • Share internal communications best practices and insights with colleagues to support continuous improvement.

Knowledge, Skills, and Abilities:

  • Strong writing, editing and proofreading skills.
  • Ability to initiate and manage multiple projects simultaneously, to adapt to competing and changing priorities, and meet deadlines in a fast-paced environment.
  • Excellent attention to detail and commitment to accuracy and accessibility.
  • Ability to work professionally in a collaborative environment and effectively interact with individuals at all levels.
  • Familiarity with digital publishing tools, email platforms and content management systems.
  • Comfort learning and working within established workflows, processes and guidelines.

Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional-level experience required.
  • Minimum of 3 years of relevant work experience, or equivalent combination of education and work experience.
Preferred Qualifications
  • Bachelor's degree in communications, marketing communications, public relations, journalism, or a related field.
  • Experience with internal or employee-facing communications.
  • Experience working in higher education or a large, complex organization.
