Thank you for considering Progyny!

Progyny is seeking an exceptional, proactive, and highly organized Executive Assistant to support members of our Commercial Leadership Team. This is a high-impact role for someone who thrives in a fast-paced environment, anticipates needs before they arise, and takes pride in enabling executives to operate at their highest level.

The ideal candidate is a strategic thinker with outstanding judgment, exceptional attention to detail, and a strong sense of ownership. You'll serve as a trusted partner to senior leaders, balancing multiple priorities while maintaining confidentiality, professionalism, and a solutions-oriented mindset. Success in this role requires someone who is resourceful, adaptable, and able to seamlessly navigate shifting priorities while building strong relationships across all levels of the organization.

You should be equally comfortable working independently and collaborating closely with fellow executive assistants and cross-functional partners. This role requires executive presence, excellent communication skills, and the ability to remain calm, organized, and effective in a dynamic, high-growth environment.

What you will do...
  • Serve as a trusted business partner to the Chief Commercial Officer, Chief Business Development Officer, and SVP of Client Success, proactively anticipating needs, identifying priorities, and helping leaders maximize their effectiveness and impact.
  • Manage complex and ever-changing calendars across multiple executives, balancing competing priorities while optimizing time against strategic business objectives, customer commitments, internal meetings, and organizational initiatives.
  • Coordinate and prepare executives for meetings by managing agendas, gathering briefing materials, tracking follow-up actions, and ensuring leaders have the context needed to make informed decisions.
  • Coordinate domestic travel arrangements, develop detailed itineraries, and proactively manage logistics to ensure seamless execution.
  • Act as a key communication conduit between the executive support team and Commercial Leadership, helping executives stay informed of company initiatives, organizational changes, leadership decisions, and cross-functional dependencies.
  • Prepare, reconcile, and submit executive expense reports accurately and in compliance with company policies.
  • Handle highly confidential and sensitive information with discretion, professionalism, and sound judgment.
  • Provide operational, administrative, and project support across a variety of initiatives, continuously identifying opportunities to streamline processes, improve efficiency, and enhance the overall effectiveness of the leadership team.
  • Build strong partnerships across departments and with external stakeholders, representing the executives with professionalism and a customer-service mindset.
About you...
  • 10+ years of executive administrative experience supporting multiple senior leaders which must include C-suite executives in a fast-paced, matrixed organization.
  • Expert proficiency with Microsoft Outlook and a demonstrated ability to expertly manage complex executive calendars. Advanced skills in Microsoft Office, including Excel, Word, and PowerPoint, with an aptitude for learning new technologies and digital collaboration tools.
  • Exceptional organizational skills and meticulous attention to detail, with a proven ability to manage multiple competing priorities while ensuring nothing falls through the cracks.
  • Strong business judgment and a proactive mindset, with the ability to anticipate needs weeks or months in advance rather than simply reacting to immediate requests.
  • Demonstrated ability to prioritize effectively, make sound administrative decisions independently, and recognize when issues require escalation.
  • Outstanding interpersonal, written, and verbal communication skills, with the ability to build trusted relationships across all levels of the organization and with external partners.
  • A collaborative, team-first approach paired with the confidence to work independently, exercise discretion, and maintain composure under pressure.
  • A continuous improvement mindset with a passion for finding better, more efficient ways to support executives and improve team operations.
