JLL - Building Technology Coordinator (P3)

Location: Anywhere in the US (ET preferred)

Work Schedule: Remote, M-F 8 AM - 5 PM

Reports to: Head of Smart Building Services, Americas

Estimated compensation for this position is: $76,100 - $114,000 annually

What this job involves:

The Building Technology Coordinator provides process coordination and tracking capacity for building technology (BT) operations across assigned client accounts. This role owns the workflow, tracking, documentation, and cross-party coordination layer that keeps BT operations moving across a large, distributed portfolio - complementing the hands-on technical execution of the BMS / OT Technology Support Specialist.

What your day-to-day will look like:

Vulnerability & Patch Coordination

  • Review vulnerability reports from scanning tools (e.g., Qualys, Phosphorus.io); support risk prioritization by asset class and severity; update remediation status in tracking systems.
  • Assign remediation tasks to appropriate asset owners, product owners, and technical teams; track progress across the BT portfolio and escalate stalled items to leadership.
  • Coordinate remediation for assets under managed services vendor contracts; support enterprise patch tracking and compliance reporting in coordination with the Specialist.

EOL & Lifecycle Management

  • Own the product end-of-life (EOL) designation process; maintain EOL records in the CMMS/ITAM platform; initiate and track remediation workflows for affected assets.
  • Coordinate replacement scheduling and exception management with OT asset managers for EOL assets.
  • Provide lifecycle governance coordination for asset and application milestones (onboarding, implementation, retirement) in conjunction with the Specialist.

Asset Inventory & Coordination

  • Maintain accuracy and completeness of asset records in the CMMS/ITAM platform; verify asset attributes and approve building systems change requests.
  • Reconcile asset record discrepancies by reviewing data and coordinating corrections with site contacts, integrators, and product owners.
  • Support automated asset discovery activities, ensuring discovered assets are properly recorded and actioned.

Change & Release Management Support

  • Submit evidence when new patches are identified; track patches through the patch tracking process; submit package requests and create change requests to initiate deployments.
  • Submit testing documentation and baseline updates to product owners; map new baselines to applicable products following validation by the Specialist.
  • Coordinate the change and release cycle across stakeholders, tracking progress from submission through deployment close-out.

Vendor & Contract Coordination

  • Serve as coordination point with managed services vendors for remediation efforts; track vendor commitments and surface delays to leadership.
  • Attend coordination meetings with vendors and integrators (e.g., BMS controls vendors, network and security contractors); develop and document new processes arising from vendor activities.
  • Maintain a vendor risk register; track and surface third-party risks to leadership.

Operations Tracking & Reporting

  • Monitor the team's work queue; manage task assignment and triage of intake requests from stakeholders, vendors, and site contacts; track open vs. resolved items across the team.
  • Own the BT operational risk register; drive burndown of open items by coordinating action owners and surfacing blockers to leadership.
  • Produce leadership dashboards, KPI reports, and status reports covering patching compliance, EOL counts, vulnerability burndown, and change cycle metrics.

Governance, Program & Documentation Support

  • Attend governance meetings and weekly syncs; document and distribute action items and owners; maintain a governance calendar aligned with program milestones.
  • Support coordination of BT program initiatives; track milestones, dependencies, and delivery commitments across active BT projects.
  • Maintain and update operational runbooks, process documentation, and baseline standards; develop new documentation when workflows change.
Required Qualifications:

Education

  • Bachelor's degree in Information Technology, Technical Management, or a related technical field (equivalent work experience will be considered in lieu of degree).

Technical Literacy

  • Sufficient familiarity with BMS, OT, and IoT building technology to understand asset classifications, vulnerability types, and remediation workflows - hands-on configuration skills not required.
  • Working knowledge of CMMS/ITAM platforms (e.g., ServiceNow): record management, change request submission, and reporting; familiarity with patch identification, tracking, and baseline documentation workflows.
  • Familiarity with vulnerability management concepts (CVE scoring, patch prioritization, EOL risk) and managed services contracting.

Process & Coordination Skills

  • 3+ years in technology coordination, program management, or IT service management within a large enterprise environment.
  • Experience managing concurrent remediation tracks, work intake queues, risk registers, and program milestones with clear escalation discipline.
  • Skilled at producing governance-ready reporting (dashboards, EOL registers, compliance summaries, KPI reports) and facilitating governance meetings with documented action registers.
  • Comfortable coordinating across internal IT teams, facility management partners, and external managed service vendors simultaneously.

Soft Skills

  • Detail-oriented and process-driven; maintains tracking rigor without being prompted.
  • Clear and concise written communicator - produces status reports, runbooks, and escalation notes actionable for both technical and non-technical audiences.
  • Collaborative - succeeds by enabling the Specialist and product owners, not by directing them.
Preferred Qualifications:
  • Experience working within a regulated enterprise environment (financial services preferred).
  • Certifications: ITIL Foundation, PMP, or equivalent program/service management credential.

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
