Position Description:

The Senior Facilities Administrator supports the daily operation, maintenance, safety, and security of company facilities and grounds. This role conducts routine inspections, coordinates repairs and vendor services, maintains facility records and service schedules, manages supplies and physical assets, and supports access control and security-related processes. The position also helps ensure continuity of operations by addressing facility issues promptly and serving as a key support resource in the absence of the Facilities Manager.

Essential Functions:

Conduct daily walk-throughs of facilities and outdoor premises, to ensure that all systems are functioning as intended and facilities doors and hallways are secured. Promptly address any identified issues or malfunctions. Maintain and update SOPs.

Act as the primary point of contact for notifications of system malfunctions, alarms, tenant communications (emails, phone calls), and any other form of communication.

Initiate work orders with appropriate vendors to address and resolve issues timely.

Perform minor building system repairs (HVAC, plumbing, electrical, lighting) as needed. Oversee and coordinate maintenance of equipment.

Perform regular inspections of physical assets to assess their condition and ensure proper maintenance and upkeep. Maintain service agreements and tracking of service schedules on all equipment and building systems including life safety inspections. Facilitate the negotiation of multi-year service agreements where possible.

Maintain inventory of supplies, tools, and equipment

Manage work orders, maintenance logs, and facility documentation.Maintain accurate records of building supplies and physical assets.

Supervise camera and parking lot monitoring systems to enhance security and safety on the premises. Respond to any suspicious activities or incidents promptly and coordinate with law enforcement as required. Responsible for all security authorizations and managing access control including fingerprinting.

Utilize HVAC controls to monitor temperature and humidity levels to ensure an optimal working environment for people and equipment.

Provide support and act as the primary contact in the absence of the Facilities Manager.

Stays abreast of trends and best practices through appropriate professional development activities.

Be flexible in working hours, including the ability to work during off-standard hours if necessary to address urgent facility-related issues.

Qualifications:
Bachelor's degree with 4 years, Associates degree with 6 years, or some college with 10 years of directly related facilities experience.

Previous experience in facilities management, building maintenance, or a related field

Ability to troubleshoot and resolve maintenance issues independently

Must successfully pass a background check to access sensitive information and automated systems.

Work Environment

This position is located in an air-conditioned, environmentally controlled atmosphere, and occasionally attend meetings in technology company environments.

This position is 100% on-site due to the nature of the work performed.

Noise level in the work environment is usually moderate.

Anticipated starting pay rate is in range commensurate with education and experience:
$70,000 - $75,000
