About This Role

This position is essential to the Human Resource Information System processes and reporting that impact payroll and employee HR data. Particularly, this position significantly impacts the bi-weekly on-cycle payroll and off-cycle processing which are considered a mission critical function to the University. It provides system table configuration as required. It serves as the HR steward in providing the appropriate level of security for end users and serves as a point of contact for any system errors. Also, this position is the system administrator for the document imaging system, ImageNow. This position plans, staffs and directs the work of employees imaging and linking documents that come to HR for processing (i.e., hires, rehires, salary changes, position updates, payroll transfers, etc. )

In addition, this position is the system administrator for the University's current Content Management system, Perceptive Content (ImageNow). This includes maintaining the system that is critical to the Employee's official KSU personnel file. All changes to an employee's job history are made utilizing Perceptive content, and this position is responsible for managing the documentation and the system routing rules to meet the criteria to get employee's data entered in an effective and efficient manner, which allows the bi-weekly payroll to run according to the State's requirements.


Duties and Responsibilities:

  • Responsible for managing HR document imaging systems and employee records processes. The role involves overseeing HR email and imaging queues, organizing and routing documents, maintaining document workflows and system access, providing technical supportto HR users, and ensuring employee records are accurate and accessible.
  • Supports HR imaging staff, manages system configurations (such as ImageNow profiles), handles security permissions, assists with records requests, and prepares reports as needed.
  • Supports HR information systems (HRIS) reporting, data management, and system administration. The role involves maintaining HR reporting processes, creating and analyzing reports, supporting payroll and compliance reporting needs, troubleshooting HRIS issues, and ensuring employee data accuracy.
  • Works closely with HR users and technical teams to resolve system problems, update configurations, and maintain reliable HR data.
  • Responsible for managing HRIS security access and ensuring users have the appropriate system permissions. The role reviews and approves access requests, maintains security roles and permission settings, updates department security structures, and works with technical teams and users to resolve access-related issues.

Worksite Description

This position is Hybrid eligible.

All employees must reside in the United States when they begin working to comply with state law. K-State is unable to provide remote or hybrid work opportunities for residents of the state of Idaho.


What You'll Need to Succeed

Minimum Qualifications:



  • Requires a high school diploma (or equivalent) and three years of relevant experience.
  • Requirements may be met through a combination of education and experience.


Preferred Qualifications:



  • Prior experience working with ERP or database systems. Preference toward the PeopleSoft HCM system.
  • Experience with Content management systems. Preference towards Perceptive Content.
  • Working knowledge of state and federal regulations and laws and understanding of the Kansas Board of Regents and Kansas State University policies and systems.
  • Technical experience in diagnosing software/hardware issues
  • Ability to use Microsoft Office suites such as Excel and PowerPoint.
  • Able to meet critical deadlines and manage multiple tasks with frequent interruptions.
  • Ability to establish priorities independently and complete objectives with minimal supervision.
  • Customer service oriented.
  • Ability to establish and maintain effective working relationships with co-workers and administrative personnel in other departments.
  • Well-developed written and verbal communication skills. Ability to communicate complex information to individuals.
  • Degree in Human Resource Management or a related field.
