Job Summary

The Facility Coordinator I will manage the daily operations of the facility, ensuring effective communication with internal and external stakeholders and overseeing task delegation to administrative staff. This role is responsible for maintaining and updating operational procedures, preparing key reports, and handling work requests. The Facility Coordinator I will also support IT equipment management and use the Computerized Maintenance Management System (CMMS) to track and ensure compliance with work orders. This position plays a crucial role in ensuring efficient workflow, accurate documentation, and smooth facility operations.


Essential Duties

  • Proactively engage with internal and external stakeholders through various communication channels to address inquiries and provide timely updates.
  • Answer phone calls and dispatch work requests to appropriate team members.
  • Empower administrative staff by delegating tasks to streamline workflow and enhance overall team productivity.
  • Drive performance excellence by actively supporting the achievement of key performance indicators (KPIs) and providing detailed reports to management on project milestones, hours, and work order status.
  • Develop and maintain accurate standard operating procedures and documentation to enhance operational efficiency. Organize documents for New Partner Orientation and Safety binders to facilitate seamless onboarding processes.
  • Harness the power of the Computerized Maintenance Management System (CMMS) to track work order status, keep stakeholders informed, and maintain regulatory compliance.
  • Facilitate the procurement, setup, and maintenance of IT equipment to ensure seamless operations and meet access requirements.
  • Provide support with the process of expense reports, and assist with inquiries related to the work order system.
  • Perform other duties as required.

Minimum Requirements

Minimum educational requirement: High School Diploma or GED

Demonstrated excellence in communication and interpersonal skills, fostering positive relationships with stakeholders.

Attention to detail.

Proven ability to effectively manage and safeguard confidential information with discretion and integrity.
