Executive Assistant to the CEO

Position Summary:

We are seeking a highly organized and efficient Executive Assistant to provide comprehensive support to our CEO. The ideal candidate is a reliable, proactive professional who can manage the daily activities of the CEO while handling sensitive and confidential information with the utmost discretion. As the Executive Assistant to the CEO, you will be responsible for a wide range of tasks that require superior communication, organizational, and multitasking skills.

Primary Responsibilities:

• Calendar Management: Maintain the CEO's daily schedule, arrange appointments, meeting invitations, and manage the CEO's Outlook calendar effectively.
• Email Management: Act as a proxy for CEO email communications, prioritizing, filtering, and responding as directed, while maintaining a high level of professionalism and confidentiality.
• Stakeholder Interface: Interact with internal and external executive stakeholders, as well as customers, on behalf of the CEO, always ensuring effective communication and professionalism.
• Document Preparation: Create, edit, and format PowerPoint presentations, meeting agendas, and other business documents as required.
• Travel Arrangements: Manage both domestic and international travel arrangements for the CEO's business and personal travel, including flights, accommodations, transportation, and complex itineraries.
• Financial Transactions: Assist with financial transactions for the CEO, such as wire transfers, deposits, and expense reporting, ensuring accuracy and compliance with company policies.
• Confidentiality: Handle sensitive and confidential information with integrity and discretion, maintaining the highest level of trust and ethical conduct.
• Personal and Professional Errands: Assist the CEO with personal and professional errands as needed, ensuring a seamless work-life balance.
• Availability and Responsiveness: Be available and responsive to the CEO's needs outside of normal work hours, including evenings and weekends, to accommodate urgent matters or last-minute requests.

Skills, Knowledge, Qualifications:

• Bachelor's degree or equivalent experience preferred.
• Proven experience as an executive assistant or in a similar role supporting senior executives.
• Expert level proficiency in Microsoft Office Suite, especially PowerPoint and Outlook.
• Excellent organizational and time-management skills.
• Strong interpersonal and communication skills.
• Discretion and integrity in handling confidential information.
• Ability to work independently under deadlines.
• Flexibility and adaptability to changing priorities.
