Job Description

Raymond West is looking for a detailed Employee Experience Coordinator to join our team! The Employee Experience Coordinator provides administrative systems, and program support to ensure the effective execution of employee engagement, travel, recognition, and onboarding initiatives. This role coordinates day-to-day program activities, maintains accurate systems and data, and supports communications and reporting to deliver consistent and positive employee experience across the organization.


Working closely with the Employee Engagement Supervisor, the Employee Experience Coordinator supports the implementation and ongoing administration of engagement and travel programs, ensuring processes are followed, timelines are met, and employee needs are addressed. This position has developed knowledge and skills through formal training or relevant work experience and operates within established procedures with a moderate degree of supervision. The role primarily handles routine and structured assignments, identifies issues in straightforward situations, and applies standard processes to determine appropriate solutions and actions.

Duties and Responsibilities:

Systems Administration



  • Maintain engagement and travel systems, including user access, workflows, and data accuracy
  • Serve as a primary contact for system support, troubleshooting, and employee inquiries
  • Monitor shared inboxes and ensure timely responses
  • Maintain organized documentation, procedures, and user guides
  • Ensure compliance with company policies and data standards
  • Monitor usage trends and recommend improvements
  • Partner with vendors (engagement platforms and travel providers, including airlines, hotels, and car rental companies) to support issue resolution and ensure a positive experience


Employee Engagement Program Support



  • Support execution of engagement initiatives, including surveys, onboarding, recognition, and campaigns
  • Assist with communications, materials, and program logistics
  • Partner with HR team members to support accurate maintenance of employee and program data
  • Coordinate meetings, training sessions, and activities
  • Track participation and maintain accurate program records
  • Gather employee feedback to support program improvements


Travel & Event Coordination



  • Review travel activity and step in to complete complex bookings or company special events as needed
  • Monitor and support employee travel to ensure a smooth experience and alignment with company policies
  • Serve as a point of contact for travel-related questions, issues, and escalations
  • Assist with planning and execution of company events and employee activities
  • Partner with vendors to coordinate event logistics and support travel-related needs
  • Track and manage travel and event expenses
  • Responsible for driving to local driving to events


Administrative, Operational, and Data Support



  • Provide general administrative and operational support to the team
  • Process expense reports, invoices, and reimbursements
  • Manage schedules, calendars, and timelines
  • Support budget tracking and documentation
  • Create and maintain presentations, reports, and materials
  • Facilitate or present portions of new hire orientation, meetings, or training sessions as needed, including in the absence of a supervisor
  • Maintain accurate engagement and travel data
  • Generate reports and track key metrics (e.g., participation, engagement, travel spend)
  • Support analysis by organizing and summarizing data
  • Ensure processes are followed consistently and in alignment with company standards


Required Skills/Abilities:



  • Strong written and verbal communication skills
  • Strong organizational and time management skills
  • Proficiency in Microsoft Office (Excel, Outlook, PowerPoint) and similar tools
  • Familiarity with travel and expense systems (e.g., Navan, Concur)
  • Familiarity with rewards and recognition platforms
  • Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals
  • Ability to present information effectively in group settings (e.g., meetings, training sessions, orientations)
  • Strong interpersonal skills with the ability to build effective working relationships across teams
  • Customer service mindset with a focus on employee experience
  • Ability to work independently and collaboratively
  • Basic analytical and reporting skills
  • Strong attention to detail
  • Sound judgment and decision-making skills with the ability to evaluate options and recommend solutions
  • Flexibility to work off-hours as business needs require and take on additional responsibilities as needed
  • Must be able to produce a Valid Driver License


Education/Experience:


Education & Experience - Determined by position level



  • Minimum: High School Diploma
  • Preferred Education: Bachelor's degree in a related field (Human Resources, Business, Communications, Sociology etc.)
  • Required: 1-3 years of related experience in employee experience, HR support, program coordination, operations, or administrative roles; or an equivalent combination of education and experience
  • Preferred Experience:

    • Supporting employee engagement programs (e.g., surveys, recognition, onboarding, or internal campaigns)
    • Coordinating events, meetings, or travel logistics
    • Working with systems or tools (HRIS, engagement platforms, or travel systems such as Navan/Concur)
    • Managing data, reporting, or program tracking
    • Experience with rewards and recognition programs or platforms
    • Experience supporting cross-functional teams or working with vendors




Travel Requirement:



  • 10% (4 hours a week)
  • Must be able to be insured by Raymond West.

Pay Range:



  • The hourly range for this position is $22.00 - $27.00. The specific pay offered to a candidate may be influenced by a variety of factors including but not limited to the candidate's relevant experience, education, and work location.


Qualified candidates must be able to pass a pre-employment physical and drug screen.
