The HRIS Records Specialist works with the lifecycle of employee records. This role is ideal for someone who has a high attention to detail, strong organizational skills, and is a problem-solver.

What you'll do and what you'll bring:

Position Function:
The HRIS Records Specialist will process employee actions in the HRIS, while ensuring accuracy of employee records in all systems. Other duties include overseeing maintenance of complete and accurate employee files, conducting regular audits to ensure data integrity, performing system testing, and maintaining strict confidentiality.

Duties & Responsibilities:

  • Ensure complete and accurate employee records within HRIS and document management system.
  • Process employee actions in HRIS, ensuring appropriate documentation is main-tained, data integrity of each action, and relevant follow up items are complete. Prepare and issue letters confirming assignment changes, as appropriate.
  • Perform final review of employee assignments in HRIS (Human Resource Information System) to proactively identify and resolve issues that may have an adverse impact on other processes or systems. Ensure data integrity and complete documentation of employee records, as well as compliance with relevant policies and procedures. Obtain missing documents.
  • Execute test plans in preparation for system updates, identifying potential issues. Conduct other testing as needed for new functionality, system enhancements and issue resolution.
  • Manage the entire employee file process with complete accuracy, from file creation to archival and destruction of physical files. Conduct regular audits to ensure files are complete and accurate.
  • Assist with the Faculty Load and Compensation process.
  • Conduct scheduled and ad hoc audits of employee records to ensure data integrity, accuracy, and consistency. Identify root cause of data issues, recommend solutions and initiate corrections, as appropriate.
  • Manage various records projects throughout the year, such as contract letters, academic year changes, deferred pay enrollments, departmental reorganizations, archival of files, etc. Oversee or participate other employee records related projects as needed.
  • Proactively look for opportunities to improve processes, procedures, and increase efficiency.
  • Work collaboratively with other People and Culture staff to research and problem solve issues, conduct testing, and meet other requests as needed.
  • Respond to inquiries from People and Culture teammates, departments across campus and employees. Answer questions and resolve employment and pay related issues.
  • Maintain procedure manual for all records area functions. Ensure process changes and additions are documented and updated.
  • Maintain confidentiality of employee information.
  • Supervise, train, and direct student employee(s).
  • Perform other related duties as assigned.
  • Maintain regular and predictable attendance. Ensure backup plan for coverage when out of office.

Minimum Qualifications:

  • Associate's degree in business and/or human resources or an equivalent combination of education and experience.
  • Three to five years of related experience.
  • Ability to work in a fast-paced environment.

Preferred Qualifications:

  • Bachelor's degree in business or HR-related area.
  • In depth knowledge of all HR records functions, Workday, Banner HR and BDM.
  • Experience working in a higher education.
  • Experience working in Human Resources.
