Risk & Safety Assistant (Temporary)

Purpose
This is an entry level position who's time will be allocated 50% in the Risk Management Department, and 50% in the Safety Department. The employee will perform a variety of routine administrative and technical work under the supervision and guidance of the Risk Manager and Director of Safety.
Focus & Scope
Essential duties and responsibilities, i.e. those which are basic, necessary, and an integral part of the job, are indicated below:
Technical / Specialty Area
  1. Assists with scanning claim documents and Certificates of Insurance into appropriate folders and/or claim files
  2. Sends out mailings as directed by the managers and senior analysts
  3. Handles claims for assigned cases within performance standard guidelines under direct supervision of the managers and senior analysts
  4. Assists in opening new claims and subrogations, and conducts outreach with employees, supervisors, and the Safety team to support investigations determining compensability, subrogation, or apportionment in accordance with state and/or Company guidelines
  5. Follows established procedures for system documentation to maintain data integrity
  6. Applies logical thinking to define problems, collect data, establish facts, and draw valid conclusions
  7. Ensures accuracy of claim data within the appropriate Teichert database for monthly and quarterly reporting
  8. Attends designated meetings and takes thorough, accurate notes for distribution and record-keeping
  9. Maintains Safety Data Sheets, training records, certifications, and inspection documentation in accordance with company standards
  10. Reviews incident data in the safety management system for accuracy and completeness
  11. Tracks leading and lagging indicators including near-misses, good catches, safety observations, incidents, and recordable injuries
  12. Utilizes company technology to maintain corrective action logs and prepare safety performance reports, charts, and dashboards
  13. Schedules safety training sessions and updates current tailgate topics as needed
  14. Maintains records of medical surveillance documentation
  15. Collaborates with the Safety Director on program and policy updates
  16. Sends renewal certification reminders and routes incident reports to appropriate personnel
  17. Assembles documentation for OSHA inspections, client audits, and pre-bid submittals
  18. Manages documentation in electronic files and maintains organized filing systems
  19. Works productively and collaboratively with others on a consistent basis
  20. Responds positively to performance direction and feedback

  • The public, third-party claims administrator (TPA) Claims adjusters and Claims Manager involved in the claims process

Role Qualifications & Requirements
Education:
  • High School diploma or equivalent required
Experience & Industry Expertise:
  • On the job training provided
  • Previous experience working in an office environment is a plus
Specific Job Requirements:
  • Successful completion of pre-employment drug, alcohol, and background investigation
  • Demonstrate ability to handle confidential material and information in an ethical and professional manner.
  • Ability to learn quickly and grasp new information
  • Strong verbal and written communication skills with emphasis on telephone communication required
  • Strong math and reading skills desired
  • Ability to communicate and work with a diverse group of people in a professional manner that demonstrates sensitivity and tact

Equipment Used:
  • Personal computer, telephone, personal protective equipment (i.e. safety glasses, hearing protection), office machines
Physical Demands & Work Environment: The physical demands and work environment characteristics are representative of those that must be met by an employee to successfully perform the essential functions of this job.   • Physical: Sitting for long periods of time working at the computer or driving to job sites. Job site visits require walking on uneven ground, climbing, bending, stooping, crawling in confined or enclosed spaces. Some lifting of materials and equipment up to 25 lbs. Close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. May work long hours during peak seasons.
  • Work Environment: Exposed to the conditions of job sites which can include loud noise, dust, fumes, and extreme weather conditions prevalent at the time. May work various shifts or hours, including early mornings, dusk or evenings.
BASE SALARY RANGE:
$20/hr - $25/hr
The range displayed reflects the range the company reasonable expects to pay for the position. The actual base salary is subject to variation due to the role, level, geographic location, relevant education, training, or experience, among other factors.
