Job Title: Community Events Lead

Job Summary:

We are looking for a program leader to organize community education events and activities for the Ludeman Family Center for Women's Health Research. You will be tasked with planning and implementing multiple community programs to support the organization's strategic direction, as well as managing long-term goals for the Ludeman Center's community initiatives. You will be responsible for developing creative and engaging events, developing budgets and operating plans, and assisting with writing funding proposals and impact reports for community programs. You will be tasked with day-to-day coordination, support, execution, and evaluation of community events and endeavors at the Ludeman Center, and working collaboratively with speakers, researchers, faculty, community advisors, vendors, and team members of the Ludeman Center to implement programs. In order to be successful in this role, you will need to have prior experience in event and program development, management, and execution, and donor relations.

Key Responsibilities:

Programmatic duties (80%) include but are not limited to:

  • Facilitating the development and execution of community events including: Annual Community Event (VIP reception, 800-person luncheon), Let's Talk: Conversations about Women's Health (4/year), Youth Career Day (1-2/year), National Conference - Community Session (every other year), various Community and Corporate Education sessions (6-12/year), and an Annual Women's Health Symposium.

    • Organizing community events in accordance with the mission and goals of the organization.

    • Creating and managing long-term community program goals.

    • Developing marketing and communication strategies, as well as content for dissemination, for community events in partnership with Communications Program Manager and Deputy Director (e.g., website, social media, video, press releases, newsletter, etc.).

    • Identifying, researching, and stewarding speakers for events.

    • Ensuring follow-through and recognition on commitments to community event supporters and donors.

    • Developing and executing community event collateral and securing materials for events.

    • Coordinating logistics, materials, and services for community events, including coordinating activities with the Ludeman Center Program Assistant.

    • Vendor management, including contract negotiation, management of vendor relationships, and oversight to ensure completion of activities/deliverables.

    • Developing and executing an evaluation method to assess community program event strengths and identify areas for improvement.

    • Leading a team of peers and volunteers with a diverse array of talents and responsibilities to accomplish community event goals.

    • Supporting the Director and Deputy Director in preparing for community events.

    • Ensuring goals are met in areas including speaker, participant, and donor satisfaction, safety, quality, and team performance.

    • Implementing and managing changes and interventions to ensure event goals are achieved.

    • Coordinate with the Ludeman Center Program Assistant to produce accurate and timely reporting of event metrics status throughout its life cycle.

    • Analyzing community event risks.

  • Collaborating with campus partners to identify mission alignment and programmatic opportunities, e.g., UCHealth, Anschutz Health and Wellness Center, Office of Advancement.

  • Meeting with leadership, team members, and other stakeholders to make communication easy and transparent regarding program issues and decisions.

  • Seeking best practices in program management, operations, and event planning.

  • Leading new events/programs as assigned, such as hosting visiting professors, outside organization conferences, or student groups.

  • Provide strategic analysis as a subject matter expert and lead projects as assigned: expanding Youth Career Day; developing corporate and community talk programs; growing diversity, equity, and inclusion programs; and other projects.

Operational, Financial, and Administrative duties (10%) include but are not limited to:

  • Developing the budget, forecasting, and operating plans for community events.

  • Serving as the community event archivist.

Fundraising duties (10%) include but are not limited to:

  • Contributing to grant/donor proposals, impact reports, presentations, and analysis for community event initiatives to support the delivery of Ludeman Center operations and programs.

  • Supporting stewardship processes within the Ludeman Center for donors, advisory groups, speakers, and strategic partnerships, and Advisory Board committees, including: agenda/speaker ideas, notes, meeting preparation, member recruitment, and other support as assigned.

Work Location:

Hybrid - this role is eligible for a hybrid schedule of three (3) days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:

  • A bachelor's degree in business, public administration, public health, accounting, finance, business administration, communications, liberal arts, business social/behavioral sciences, physical sciences, nursing, healthcare, or a directly related field from an accredited institution.

  • At least three (3) years direct responsibility for leading events, meetings and convenings; event planning; donor relations; and faculty and/or speaker presentation coordination.

    • Substitution: A combination of education and experience may substitute for the bachelor's degree on a year-for-year basis.

Preferred Qualifications:

  • Master's degree in business, public administration, public health, accounting, finance, business administration, communications, business social/behavioral sciences, physical sciences, nursing, healthcare, or a directly related field from an accredited institution.

  • Experience working in an academic medical center and/or non-profit.

  • Four (4) years of experience in donor management or community advisory boards.

Anticipated Pay Range:

The starting salary range for this position has been established as $65,305-$83,068

The above salary range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
