Job Title: Vehicle Operations Specialist

Location(s): Phoenix, AZ
(Hybrid: 1 day per week onsite)

Overview
The Vehicle Operations Support Specialist is responsible for supporting vehicle logistics and order management by ensuring accurate data handling, effective communication, and timely resolution of discrepancies. This role requires strong coordination skills, attention to detail, and the ability to work across systems and stakeholders.

Key Responsibilities
Communication & Coordination

  • Manage inbound and outbound calls with vendors, clients, and customers.
  • Obtain status updates, confirm vehicle locations, and gather required information.

Order & Data Management

  • Enter and manage transportation orders and notes using internal systems.
  • Maintain accurate account records including contact details, order notes, and account numbers.
  • Track and update order status to ensure completeness and accuracy.

Quality Control & Issue Resolution

  • Verify submitted orders for accuracy and completeness.
  • Identify discrepancies and resolve issues promptly.

Reporting & Analysis

  • Create and maintain spreadsheets to track orders, inventory, and reminders.
  • Analyze data trends to identify process improvements and operational efficiencies.

Inventory Management

  • Monitor daily inventory levels and ensure proper allocation.

Additional Duties

  • Perform other tasks as assigned by management.
Required Skills & Qualifications
  • Strong verbal and written communication skills.
  • Proficiency in computer systems, including data entry and Excel.
  • Analytical mindset with strong problem-solving abilities.
  • High attention to detail and organizational skills.
Work Schedule
  • Training: 7:00 AM - 4:00 PM or 8:00 AM - 5:00 PM (Arizona Time).
  • Regular Shift: 8-hour shift within 6:00 AM - 5:00 PM (Arizona Time).
  • Work Week: 40 hours.
  • Overtime: As needed with approval.
Work Model & Location Requirements
  • Hybrid role (1 day per week onsite; full return-to-office transition ongoing).
  • Candidates must be located in Phoenix, AZ; Atlanta, GA.
  • Non-local candidates must be comfortable working Central/Eastern time zones.
Additional Details
  • Not a driving or supervisory role.
  • Not a safety-sensitive position.
  • Contract role with potential extension (no guarantee of conversion).
