Civil, Architectural, and Environmental Engineering
Job Description
The Civil, Architectural and Environmental Engineering Department is seeking quality candidates to fill the role of Office Support Assistant IV. This full-time role is an opportunity to make lasting and significant impact in the department through a variety of tasks, including: Administrative & Office Support
- Manage daily office operations: greet visitors, answer phones, respond to email, schedule appointments, and direct inquiries
- Participate in cross-training to ensure consistent office coverage
- Serve as a liaison to campus departments, alumni, industry partners, and prospective students
- Maintain office supplies and equipment; coordinate work orders, copier service, and departmental subscriptions (e.g., Culligan Water, FedEx)
Financial & Records Support
- Demonstrate proficiency in financial and administrative processes, including expense reporting, student hiring coordination, and payroll review
- Process departmental purchases and maintain financial records
- Track receipts, inventory, and required documentation
Student & Program Support
- Manage the student hiring process, ensuring accurate and timely onboarding documentation
- Recruit, train, and assist with student ambassadors and student organizations
- Support student activities, design teams, service projects, and departmental initiatives
- Maintain rosters for societies and graduation requirements; track student involvement
- Provide guidance on campus resources and assist with non-academic student concerns
Event & Engagement Coordination
- Plan and support departmental events including banquets, lecture series, and engagement activities
- Coordinate event logistics such as reservations, catering, registrations, travel, and attendee lists
- Support communications and activities for the Academy of Civil Engineering
- Assist with recruitment and engagement events including Opening Week, career fairs, interviews, and hospitality functions
Systems & Data Support
- Support departmental systems including PeopleSoft, AccessIt, Joe'SS, and textbook platforms
- Monitor and report Faculty Load Count, student data inquiries, course changes, and key assignments
Additional Duties
- Assist with special projects and other departmental needs as assigned
- Provide event support during the academic year, which may occasionally include evening hours
Shift
Monday-Friday, 8:00am-4:30pm.
Minimum Qualifications
High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary
Preferred Qualifications
- High school diploma or equivalent
- Minimum of two years of office or administrative experience, or equivalent combination of education and experience
- Proficiency with Microsoft Office (Teams, Outlook, Excel, and Power Point)
Anticipated Hiring Range
The anticipated hiring range for this position has been established as $15.50-$20.32 hourly. Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
