Are you a highly organized and detail-oriented professional with a passion for legal support? We are seeking a dedicated individual to join our team and make a significant impact by providing crucial administrative and legal assistance. In this role, you will be instrumental in maintaining the efficiency and confidentiality of our legal operations, directly contributing to the smooth functioning of our organization's legal functions and ensuring that critical information is managed with precision and care. Your expertise will be vital in supporting complex legal processes and safeguarding sensitive information, enabling our legal professionals to focus on strategic initiatives.

CORE RESPONSIBILITIES



  • Prepare confidential and sensitive documents and maintain confidentiality with respect to all correspondence in all aspects of the Law Departments work.
  • Create, maintain, and organize files, including searching, retrieving, and scanning documents into the office imaging system and electronic databases.
  • Organize documents and information for litigation, or regulatory and other purposes, including responses to discovery or governmental requests.
  • Validate files for quality and accuracy after being processed through document scanning software.
  • Analyze incoming legal documents for processing and routing in accordance with established protocols.
  • Validate accurate data entry of motions, court appearances, and other information.
  • Assist with scheduling meetings in Outlook, Teams, and on the Manhattan Space Scheduling System and other platforms
  • Coordinate in-person and hybrid meetings including escorting guest as well as ordering refreshments and setting up refreshments in conference rooms.
  • Complete electronic filing of pleadings in cases filed in Supreme Court and other forums.
  • Interact with corporate staff, clients, and customers.
  • Perform occasional research.
  • Provide other legal support services designated by senior management of the Law Department.


PREFERRED EDUCATION AND WORK EXPERIENCE QUALIFICATIONS



  • Bachelor's Degree in Legal or Paralegal Studies and a minimum of two years of experience as a legal assistant or legal secretary. OR
  • Associate's Degree in Legal or Paralegal Studies and a minimum of four years of experience as a legal assistant or legal secretary. OR
  • High School Diploma/GED and a minimum of six years of experience as a legal assistant or legal secretary.
  • Must be able to work well independently or in a team environment.
  • Must be proficient in MS Word, MS Excel and PowerPoint, with the ability to create charts, graphs, and spreadsheets, prepare PowerPoint presentations and other tasks as needed.
  • Must be detailed-orientated with good analytical skills and ability to efficiently handle multiple tasks and projects with competing priorities and deadlines.
  • Must have excellent listening, verbal, and written communication skills, with the ability to communicate effectively and handle internal and external contacts professionally with tact and sensitivity.
  • Must be disciplined, have excellent time management skills and take initiative on projects.


This is an ONSITE opportunity in NYC and hours are 8:00 am - 4:30 pm. Only local candiates will be considered.
