JOB DESCRIPTION AND POSITION REQUIREMENTS

Penn State Extension in Bradford and Sullivan County is seeking a part time Administrative Assistant. The Administrative Assistant:

  • Will work closely with Extension Educators, other Administrative Support Staff, the Area Extension Business Operations Manager and Area Client Relationship Manager to help ensure the smooth and efficient daily operation of the Bradford and Sullivan County Extension offices
  • Provide customer service and support
  • Help coordinate office communications
  • Provide administrative support for county Extension programs and events coordination
  • And perform other clerical, administrative duties, and support as needed

Specific responsibilities can include:

  • Serve as first-line liaison to internal and external contacts and provide general office support. Greet customers, answer telephone, provide directions or information and solve routine issues.
  • Communicate routine and general information to staff, customers, and/or public about standard services, processes, and procedures using prescribed or established guidelines.
  • Maintain inventory, order office supplies, and arrange for equipment maintenance.
  • Provide support to assist educators with clerical and administrative tasks.
  • Perform other duties as assigned or requested.

The Administrative Assistant:

  • Must maintain a professional appearance, represent Penn State University and the county Extension office in a professional manner, and exercise sound professional judgment in carrying out duties assigned by the Business Operations Manager, Client Relationship Manager and Extension Educators.
  • Must have the ability to work as part of the Extension team as well as to work independently and have the ability to follow procedures as determined by Penn State Extension.
  • Must have excellent communication, phone skills, organizational, and interpersonal skills; be attentive to detail; have the ability to handle multiple priorities/deadlines; and be able to exercise discretion in handling sensitive and confidential information.
  • Should be able to work independently to multi-task and to prioritize workload.
  • Should have experience in a team environment with excellent team skills.

Candidates should possess excellent grammar and proofreading skills, basic computer skills such as Microsoft Excel, Word, etc.

Preference given to those with 1+ years of related experience and a High School diploma or higher, or an equivalent combination of education and experience.

The position is based at Penn State Extension's Bradford County office located at 200 Main Street, Towanda, PA 16371 with frequent travel to the Sullivan county office located at 9219 Route 487, Dushore, PA 18614.

This is a part-time position anticipated to be for one year from date of hire with excellent possibility of re-funding. The individual will work up to 21 hours/week, usually consisting of two work days in the Bradford county office and one day in the Sullivan county office. An occasional flexible work day schedule may be necessary.

BACKGROUND CHECKS/CLEARANCES

This position requires the following clearances in addition to applicable background checks: PA State Police Criminal Background Check, PA Child Abuse History Clearance Form, and Federal (FBI) Fingerprint Criminal Background Check.

Pursuant to the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act and the Pennsylvania Act of 1988, Penn State publishes a combined Annual Security and Annual Fire Safety Report (ASR).
