Description

Note: APA operates on a 37.5-hour work week with one-hour lunch breaks each day. APA sets salaries based on several considerations, including years of relevant experience, level of education, and previous staff and/or governance experience at APA.

The Payroll Specialist ensures accurate processing and recording of the organizations payroll, provides timely and accurate financial information, and participates in daily data entry Payroll processing. As a team, the payroll unit processes and distributes the APA's bi-weekly payroll for more than 500 employees. He/she will ensure employee payroll records are updated and maintained. He/she will provide information and assistance to all APA employees, 3rd party payroll vendor, and regulatory agencies concerning all aspects of payroll.

Education and Experience Required

Education: Bachelors in Business Administration, or Bachelors in another business discipline.

Experience: 6+ years of progressive experience in accounting office with 3-5 years directly working with an automated payroll system.

Required: Must be able to demonstrate a solid understanding of accounting and business knowledge. Must demonstrate effective communication and writing skills. Excellent problem solving/judgment skills, and high level of attention to detail and accuracy. Ability to maintain confidentiality and exercise extreme discretion.

Preferred: CPP (Certified Payroll Professional certification) or FPC (Fundamental Payroll Certification). Experience with UltiPro preferred.

Computer Skills Required



  • Experience with Ultipro highly preferred.
  • Experience with accounting software (Business Central) useful
  • Knowledge of MS Office including Excel and Word


Responsibilities

Prepare and process APA's bi-weekly payroll including but not limited to:



  • Prepare and process APA's bi-weekly payroll.
  • review timesheets for compliance with APA's policy and FLSA;
  • ensure all changes made by Human Resource business partners properly flow into the appropriate payroll period, including but not limited to, new hires, terminations, rehires, promotions, changes to voluntary employee benefits, 401(k) contributions, and salary adjustments;
  • process requests for bonus and other supplemental payments; process requests for manual checks and auxiliary pay;
  • ensure accuracy of the bi-weekly payroll prior to processing, such as all earnings, employee benefits, pre-tax deductions, and after tax deductions are accounted for; and,
  • Prepare payroll Jornal entries and upload to accounting system.


Perform other payroll related duties including, but are not limited to:



  • reconcile all general ledger payroll accounts monthly and resolve discrepancies;
  • ensure new hires, terminations, rehires, promotions are accurately entered in the system;
  • maintain employee payroll & timesheet records, such as, program number additions/deletions, hierarchy, exempt vs. non-exempt, etc.;
  • manage employee PTO plan balances to ensure accuracy of time usage and accruals, compute payouts upon request;
  • ensure accuracy of year-end PTO rollover;
  • process all garnishment and other special payroll deductions;
  • administer and maintain employee benefit programs/services, such as Beniversal, flexible spending accounts, Liberty Mutual, on-site parking, etc.;
  • communicate timely to all APA staff any important announcements concerning payroll and respond to internal requests for information;
  • ensure timely and accurate quarterly/annual federal and multi-state tax filings by vendor;
  • ensure any changes to SUI or any other tax rate is communicated to 3rd party payroll vendor timely; process accurate and timely year-end reporting, such as W-2, W-2c, etc.;
  • act as liaison to 3rd party payroll vendor;
  • research and respond to inquiries and requests from local, state, and federal taxing authorities; and
  • respond to internal requests for information;
  • train other team members and coordinate daily work, as needed.
  • Assist as needed for audit/tax requests, research, and other ad hoc projects at the request of supervisor and senior management.
  • Other duties as assigned.
