Administrative Assistant/Receptionist Pay Range $19-$21 per hour Company Overview Community Teamwork is a private non-profit organization located in Lowell MA. Position Summary This Administrative Assistant/Receptionist is responsible for providing specialized administrative support to the Inspection program, ensuring the smooth functioning of the inspection process to include a high volume of scheduling, coordinating and tracking of inspections and maintaining compliance with HUD, DHCD and other inspection requirements and standards. Participate effectively within and across teams to deliver high quality of service to inspection program participants. Essential Functions and Responsibilities
- Schedule and coordinate all inspections, including monthly annual inspections, new unit inspections and other special inspections, and communicate scheduled inspections directly with Inspectors. Maintain daily contact with Inspectors to make schedule changes, including emergency inspections. Follow up with Inspectors to ensure inspections are accomplished on time, as required
- Enter all inspection data into Tracker System and other inspection databases, ensuring accurate and complete data entry to document the inspection processes; requires accurate interpretation of inspector reports and coding information as provided by Inspectors
- Responsible for tracking, processing and reporting of payments to include stop payments and abatements
- Communicate the inspection process effectively and clearly with property owners and tenants, responding to a high volume of participants' questions, and educating them with the responsibilities and obligations pertaining to HUD, DHCD and CTI policies and procedure guidelines as they relate to inspection requirements and family obligations. Identify problems, review available guidelines and procedures to identify possible solutions, refer difficult or complex questions to management and/or Leased Housing Program Representatives
- Process, scan, and file inspection reports. Maintain files, program records and caseload monitoring and tracking forms in accordance with policies and procedures and as prescribed by HUD and DHCD requirements
- Coordinate document filing including Letters of Compliance and Occupancy Permits
- Update Letters of Compliance and Building Permit dates in Tracker System
- Track contract terminations, audits, marginal units, new units and various special inspections
- Responsible for completing data entry on all failed items in to the tracker database
- Act as a liaison between the Inspectors and Program Representatives to enable accurate and timely communication between the Inspection Department and property owner

- High School Diploma or equivalent education
- Excellent customer service, organizational, interpersonal, oral and written communication skills
- Ability to work independently and as a team in a fast paced, detail oriented environment
- Ability to work well under pressure with good problem solving skills
- Proficient with Windows, Microsoft Word, Excel, or comparable software and tracking systems
- Excellent attention to detail
- Sensitivity to the needs of low income, culturally diverse, and at-risk families and individuals
- Ability to maintain confidentiality
Preferred Qualifications
- Bilingual skills (Spanish/English)
- Associates Degree
- Familiarity with HUD/DHCD housing program regulations and eligibility requirements
