| Job Summary |
The Administrative Project Coordinator I provides high-level executive support, research analysis, and project management to the Vice Provost for Academic Success and Innovation. Unlike a traditional administrative role, the Administrative Project Coordinator I functions as a strategic partner, supporting high-priority academic initiatives in theVice Provost's portfolio.
The Administrative Project Coordinator I is responsible for the seamless execution of the Vice Provost's daily workflows, the preparation of data-informed, research-based briefing materials, and the tracking of key innovation projects across the university. |
| Minimum Education and Experience |
Bachelor's degree in a related discipline and three years of administrative experience, experience related to the project area or any equivalent combination of education and experience. |

- Master's degree in Higher Education Administration, Public Administration, or related
- Previous experience supporting senior leadership, preferably within a higher education or non-profit setting.

| Essential Duties and Responsibilities |
Executive Workflow & Calendar Management (40%)
Strategic Scheduling: Manage a complex, shifting calendar with a focus on prioritization. Differentiate between "urgent" and "important" requests, ensuring time is protected for strategic planning and deep work. Meeting Logistics: Coordinate high-level meetings with university collaborators, academic leadership, and external partners. This includes securing venues, managing technology, and ensuring all participants have the necessary materials in advance.
Research & Academic Support (30%)
Briefing & Preparation: Prepare "daily briefing packs" for the Vice Provost, including bios of meeting attendees, context on agenda items, and relevant background history. Academic Research: Conduct targeted research on higher education trends (e.g., retention strategies, digital learning innovations, peer institution policies) to support the Vice Provost's decision-making. Writing & Editing: Draft and edit correspondence, reports, white papers, and presentation slide decks. Transform raw data concepts into polished, professional communications suitable for university-wide distribution.
Project Management & Liaison Duties (30%)
Initiative Tracking: Maintain a central dashboard of the Vice Provost's current projects and goals. Monitor deadlines and deliverables from direct reports and cross-functional teams to ensure projects remain on track. Stakeholder Liaison: Serve as a primary point of contact for the Office. Build professional relationships with key stakeholders (Dean's offices, Student Affairs, Registrar) to facilitate collaboration and information flow. Event & Committee Support: Provide staff support for key committees chaired by the Vice Provost, including agenda setting, minute taking (focused on action items), and following up on decisions.
Skills Required
The Administrative Project Coordinator I must successfully demonstrate the following:
Research Skills: Demonstrated ability to locate, synthesize, and summarize information from various sources (academic journals, policy documents, news, media). Technical Proficiency: Expert-level proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools (e.g., Asana, Trello, Microsoft Teams). Proficiency in Data Analysis: Ability to synthesize complex information and data into clear, compelling narratives for a variety of audiences. Data Literacy: A proven ability to look at a dataset, identify trends or anomalies, and explain the "story" behind the numbers to non-technical stakeholders.
Skills Preferred
- Understanding of university governance structures.
- Experience analyzing data and creating visual representations of complex information.
- Thrives in a dynamic environment; able to pivot quickly when priorities change and learn new digital tools as the office innovates.
- Possesses strong emotional intelligence and the ability to navigate complex university structures with diplomacy, ensuring positive collaboration across academic units.
