UT Medicine is building the future of academic healthcare in Austin-and Talent Acquisition is central to that mission.

Purpose

The Associate Recruiter is a key contributor within a newly established Talent Acquisition function (launched in 2025) that will support the opening of the UT Medicine hospital in 2030 and the hiring of approximately 4,500 employees over the next four years across clinical, research, academic, and operational roles.

This role is ideal for an early-career TA or HR professional who wants to build deep expertise in Talent Acquisition Operations, develop skills in systems, data, offers, and onboarding, and grow within a mission-driven academic health system focused on equity, innovation, and patient safety.

Responsibilities

The Associate Recruiter supports the full talent acquisition lifecycle with a strong focus on operational excellence, candidate experience, and process scalability.

Recruitment Operations & Support

  • Create, post, and maintain clinical and non-clinical job requisitions in Workday, ensuring accuracy, compliance, and alignment with approved hiring plans.

  • Support recruiters and hiring managers with applicant management, interview coordination, candidate communications, and recruitment audits.

  • Monitor and manage handoffs between recruitment, offer, and onboarding to ensure a seamless experience for candidates and internal stakeholders.

  • Serve as an operational partner to ensure recruitment activities adhere to internal controls, reporting requirements, and governance standards.

Offer Letter Preparation & Audit Support

  • Prepare, review, and audit offer letters to ensure accuracy, consistency, and alignment with approved compensation, job classifications, and institutional guidelines.

  • Partner with recruiters, HR partners, and hiring manager teams to resolve discrepancies prior to offer release.

  • Track offer status, approvals, and execution timelines to support hiring speed and compliance.

  • Support continuous improvement of offer processes and documentation as the TA function scales.

New Hire Onboarding & Employee Experience

  • Support the new hire onboarding experience by ensuring timely and accurate transition from accepted offer to onboarding initiation.

  • Monitor onboarding milestones and proactively identify gaps that could impact the candidate or new employee experience.

  • Partner with HR operations and hiring departments to improve communication, clarity, and readiness for Day One.

  • Contribute to enhancements in onboarding workflows, templates, and communications as part of a growing academic medical center.

Sourcing, Marketing & Events

  • Support sourcing for hard-to-fill roles using LinkedIn, job boards, professional associations, and targeted outreach.

  • Assist with recruitment marketing initiatives, employer branding, and social media strategies.

  • Coordinate and participate in job fairs and hiring events representing Dell Medical School, UT Health Austin, and the future UT Medicine academic medical center.

Data, Reporting & Process Improvement

  • Prepare recruitment and onboarding reports using Microsoft Forms, Smartsheet, Excel, and related tools.

  • Support data visualization and analysis related to time-to-fill, offer acceptance, onboarding progress, and workforce trends.

  • Identify process improvement opportunities across recruitment, offer, and onboarding workflows.

  • Assist with documentation of SOPs, workflows, and best practices within Talent Acquisition Operations.

Customer & Stakeholder Support

  • Provide support to recruiters & hiring managers on recruitment processes, candidate pipelines, offer timelines, and onboarding expectations.

  • Serve as a trusted, service-oriented partner while balancing compliance, accuracy, and candidate experience.

  • Proficient with Microsoft Office tools (Excel, Word, PowerPoint, Outlook).

  • Demonstrated initiative, curiosity, and commitment to professional development.

Required Qualifications
  • Bachelor's degree in Human Resources, Business Administration, or a related field.

Preferred Qualifications
  • One (1) year of experience in recruitment, HR operations, or a generalist role.

  • Experience in a hospital, health system, academic medical center, or health-related environment.

  • Workday experience (ATS or HCM modules preferred).

  • Experience preparing or auditing offer letters.

  • Experience supporting new hire onboarding processes or employee experience initiatives.

  • Experience with reporting tools such as Microsoft Forms, Smartsheet, or Excel.

Salary Range

$60,000+ depending on qualifications
