Duties, Responsibilities & Other

KCI is seeking a highly organized and proactive Business Development & Marketing Coordinator to support regional business development initiatives, support generation efforts, and marketing activities across the Northeast region. This role plays a critical connective function-supporting technical leaders, coordinating trade shows and associations, tracking BD efforts, and ensuring marketing and BD activities are aligned, documented, and moving forward.

This position is ideal for someone who enjoys balancing strategy and execution, working cross-functionally, and keeping BD initiatives organized and on track.

Key Responsibilities

Trade Show & Conference Coordination

    Plan, coordinate, and support trade show and conferences in alignment with business development and marketing goals working with the various technical Practices
  • Manage all event logistics, including exhibitor requirements, registrations, shipping, booth materials, and attendee communications.
  • Coordinate with technical, and marketing teams to ensure clear objectives and consistent messaging for each event.
  • Support and monitor event timelines, budgets, and post-event debriefs and reporting.
  • Coordinate or support the development of promotional materials and campaigns to drive engagement and lead generation.
  • Attend trade shows and conferences as needed; ability to lift/move boxes and assist with booth setup and breakdown is required.

Lead Generation & Campaign Support

  • Implement and support lead generation strategies that align with regional and firmwide sales objectives.
  • Assist with the execution of marketing campaigns, webinars, and digital initiatives.
  • Track, analyze, and report on lead generation activity and campaign effectiveness.
  • Maintain and update CRM records (Microsoft Dynamics preferred) with leads, campaign data, and follow-up status.
  • Coordinate with technical and business development staff to ensure leads are properly qualified and followed up on.

Business Development Coordination

  • Support Office Managers by facilitating monthly Business Development (BD) meetings for assigned offices; capture discussion points, action items, and client intelligence.
  • Maintain and update the Northeast Regional BD Campaigns list and provide status updates during meetings.
  • Track and research target client firms, including key contacts, past relationships, and potential "ways in," as requested by technical leaders.
  • Debrief BD activities from conferences, meetings, and networking events to ensure follow-up actions are documented and completed.
  • Research proposed developments, permitting activity, and market trends within target regions.
  • Review association and event opportunities prior to monthly BD meetings and present relevant options for technical teams to pursue.
  • Re-issue and manage BD meeting calendars to ensure ownership and consistency.

Associations, Events & Resources Management

  • Track firm membership and involvement in regional associations.
  • Maintain records of booth materials, collateral, and giveaway items, including location and ownership.
  • Support maintenance of regional BD and marketing hubs, including event calendars and shared resources.
  • Coordinate with external vendors, partners, and internal teams related to events and marketing initiatives.

General Marketing Support

  • Assist with the creation and distribution of marketing materials such as brochures, newsletters, and digital content.
  • Support brand consistency across teams and initiatives in alignment with firm brand guidelines.
  • Conduct market and competitor research to support BD and marketing strategy.
  • Provide administrative and coordination support for marketing and BD activities as needed.


Qualifications

  • Bachelor's degree in marketing, communications, journalism, or related field preferred.
