STATUS:Part Time

REPORTS TO: Executive Vice President
PLACEMENT: Support Staff - NUH08
HIRING RANGE: $26.73 - $30.07 hourly

POSITION SUMMARY

This position provides executive-level support to the Executive Vice President and Chief of Staff and requires exceptional communication skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. This position serves as a resourceful problem-solver, exhibiting a high level of professionalism and confidentiality.

ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES
1. Provide high-level administrative support including calendar management, meeting coordination, and travel arrangements.
2. Prepare and edit correspondence, reports, presentations, and other documents.
3. Assist in managing executive communications, including email and phone inquiries.
4. Coordinate logistics for internal and external meetings, including agendas, materials, and follow-ups.
5. Track and manage deadlines, action items, and deliverables for strategic initiatives.
6. Support special projects and confidential assignments as directed by the Chief of Staff and Executive Vice President.
7. Maintain organized filing systems and records, both digital and physical.
8. Liaise with internal departments and external stakeholders on behalf of the executives.
9. Maintain absolute confidentiality regarding all matters within the Office of the President.
10. Provide coverage to the Office of the President in the absence of Executive Assistant to the Vice President.
11. Perform related duties as assigned.

MINIMUM QUALIFICATIONS
1. Associate's Degree in Business or related field.
2. Three (3) years of experience in an executive level administrative support.
3. Proficient in MS Office Suite (Word, Excel, Visio, PowerPoint and Outlook) and Adobe Acrobat.
4. Excellent oral, written, and interpersonal communication skills, detail-oriented with the ability to proofread and type accurately.
5. Excellent customer service skills with the ability to effectively work with minimal supervision.
6. Ability to establish and optimize efficient office organization.
7. Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
8. Ability to establish and maintain cooperative and effective working relationships with other members of the college and community, displaying cultural competence as well as emotional intelligence.
9. Demonstrated commitment to the college's core values of respect and inclusion, sustainability, integrity, collaboration, humor and well-being, innovation and quality.

PREFERRED QUALIFICATIONS
1. Bachelor's degree in business or related field
2. Five (5) years of office experience, preferably in a higher education environment.
3. Workday experience.
4. English and Spanish verbal and written communication proficiency.
5. Demonstrated multicultural competence.

PHYSICAL DEMANDS
1. Normal office physical demands.
2. Ability to travel between campus locations and to and from community events.

WORKING CONDITIONS
1. Duties are performed indoors in the usual office and/or outdoor environment.
2. Part time, approximately 28 hours per week, with flexibility to support occasional extended hours based on executive needs.
3. On-campus position, not eligible for remote work.
