The Office Assistant provides day to day office support by completing administrative tasks, maintaining equipment and supplies, meeting and event management, delivering items, and coordinating and distributing communications, while fostering collaborative relationships with the administrative team.


Responsibilities

  • Consistently and genuinely demonstrate the STARS principles of Service, Teamwork, Action, Reputation and Success in all activities and interactions.
  • Complete all daily event/meeting/office move setups, resets, and removals of all furniture, equipment, etc.; Assist with daily event management to include unlocking meeting rooms and maintaining awareness of daily event schedules; Inspect all equipment for proper functioning prior to set up.
  • Collects, sorts and distributes mailing correspondence and coordinates messenger and courier service.
  • Maintains kitchen and copy room supplies by checking stock to determine inventory levels; anticipating needs; placing and expediting orders; verifying receipt; stocking items; delivering supplies to workstations.
  • Maintain orderly appearance in all storage areas (including the mailroom); Conduct regular inventory of setup equipment.
  • Responsible for appearance/cleanliness of public spaces and meeting rooms.
  • Walk the space daily and report issues both mechanical (plumbing, electrical) and cosmetic (ripped or stained carpet, paint touch ups, broken equipment.)
  • Handle lunch order arrivals, setups and cleanups.
  • Assist departments with loading and unloading packages.
  • Handle print, copy, scan, fax and filing requests.
  • Complete basic typing and data entry projects.
  • Support the administrative team and office manager with requests as needed, along with special projects based on business needs.
  • Other duties as assigned.

Salary Range

USD $20.00 - USD $22.00 /Hr.

Compensation Disclosure

The salary range mentioned above reflects the potential pay for this role and does not include bonuses or additional incentives (if applicable), nor does it include the value of our benefit program. Offers will consider factors like experience, qualifications, location, community size (if relevant), certifications/training, etc. Brightview regularly reviews and adjusts compensation ranges.


Qualifications

  • High School Diploma or G.E.D.
  • Ability to work in a fast-paced environment demonstrating strong organizational, planning and follow up skills.
  • Ability to organize and manage multiple priorities.
  • Strong verbal and written communication skills with the ability to interact, in English, with a diverse group of associates, visitors and external agencies.
  • Ability to read and communicate, in English, at a level sufficient to understand policies and procedures, general business correspondence and/or documentation.
  • Strong computer and keyboarding skills with basic knowledge in Microsoft Outlook, Word and Excel and the ability to quickly master new applications.
  • Knowledge of office equipment operations.
  • Excellent interpersonal skills. Positive attitude, enthusiasm and energy. Strong customer service orientation.
  • Strong attention to detail.
  • Possess and maintain timely and reliable transportation.
