Responsibilities
The Subsidiary Project Administrative Manager is responsible for ensuring that overall administrative goals related to quality and performance are achieved in support of the subsidiary while providing guidance to local offices as needed. Responsibilities for any one particular project may be limited. The goal is to delegate to other staff and step in when and where it is most useful (highest and best value). The Subsidiary Project Administrative Manager supports subsidiary executives with special projects, reporting, and training. The role also acts as a liaison for IT, safety, and recruiting initiatives, ensuring efficient communication between subsidiaries and corporate teams. Temporary coverage for project administrators and coordination of project administrative tasks are part of this role. Present a positive customer and employee service attitude and understanding of ECS Core Values. Responsibilities This role is not intended to serve as a full-time Project Administrator for individual local offices other than the Subsidiary office. Instead, the primary focus is on supporting the subsidiary and local offices in these areas as needed.
- Manage the project administrative functions of the Subsidiary.
- Oversee the administrative tasks associated with a project, including, but not limited to
proposal and project registration, invoicing set-up, coordinate project resources, and more. - Support, develop, and train junior staff throughout the subsidiary.
- Use ECS systems in the management of project resources, project paperwork and
documentation, and maintaining project schedules and budgets. - Oversee internal communications with staff members on a variety of projects. Actively mentor
junior staff and support the overall development of the team. - Schedule project meetings and provide solutions to administrative and client issues as
necessary. - Serve as the central point of contact for client-facing, project-related communication.
- Assist junior staff with the resolution of issues.
- Oversee project budgets, prepare invoices, and conduct collections efforts. Prepare change
orders and invoices. - Prioritize tasks and meet project deadlines.
- Manage project budgets for successful profitability.
- Host or attend project discussions with clients, follow up on reports to determine if there are
questions. Assist junior staff with resolution of issues. - Assist senior staff with staffing decisions.
- May manage staff.
- Support Subsidiary Executives and Management Group with special projects, reports,
meetings, and training. - Attend and participate in monthly management group meetings.
- Other duties as assigned.
Qualifications
Required Qualifications and Skills
- 12 years of related experience
- High school diploma or GED required. Bachelor of Business or related field is preferred.
- PMP - Project Management Professional offered by the Project Management Institute (PMI) or
another related certification. - If driving for, or on behalf of, any ECS subsidiary, a valid driver's license is required.
- Excellent oral & written communication skills

- Proficient with MS Office (Word, Excel, PowerPoint)
