Westwood Professional Services, Inc. is seeking a dynamic Senior Billing Associate to join our team. The Senior Billing Associate at Westwood is a key member of our Finance leadership team. This role requires exceptional leadership, attention to detail, strong analytical skills, and the ability to work collaboratively with cross-functional teams. The Senior Billing Associate will oversee a team of billers, ensure accurate and timely billing, resolve billing discrepancies, and provide strategic guidance and support to the organization. The Senior Billing Associate, with the Billing Manager, will lead strategic initiatives to improve processes, implement technology solutions, and manage IT-related projects that enhance efficiency and accuracy across the organization.



Duties and Responsibilities

Billing Responsibilities:
* Oversee the full lifecycle of invoicing, including data verification, invoice generation, and ensuring accuracy and completeness of billing information.
* Proactively identify opportunities for process improvement and lead initiatives to streamline billing workflows and enhance system functionality.
* Collaborate with IT and Finance teams to manage billing-related technology projects including ERP enhancements, integrations, and automation efforts.
* Partner with Billing Manager to lead month-end billing close procedures and reporting.
* Partner with project managers, organizational leadership, and other stakeholders to gather necessary billing information and resolve any billing-related issues efficiently.
* Conduct routine review of billing data to identify and resolve discrepancies, inconsistencies and/or errors.
* Ensure compliance with Westwood's billing policies and procedures, as well as applicable regulatory standards.
* Become subject matter expert for billing within VantagePoint (ERP system) including but not limited to reporting, project setup, transactions, etc.
* Oversee billing team members communications and offer timely guidance and support.
* Assist with Accounts Receivable inquiries and provide resolution as needed.
* Prepare and provide guidance around lien waiver process as needed.
* Other duties as assigned.

Team Leadership Responsibilities:
* Demonstrate strong leadership by mentoring and developing team members, fostering a culture of accountability and continuous improvement.
* Lead cross-functional project teams for IT implementation and process organization initiatives.
* Supervise Billing staff and ensure quality/accuracy of all Biller work product.
* Deliver both one-on-one and group training to new Billers and Project Managers on billing processes/procedures.
* Coordinate and perform invoicing training for newly acquired entities.
* Design and conduct large-scale trainings for organizational groups as needed.
* Facilitate weekly billing team meetings to align priorities and address challenges.
* Provide expert guidance to the billing team and assist in resolving complex billing issues.
* Oversee team development, mentorship, performance evaluations/growth planning, and personnel decisions for assigned billing staff.
* Collaborate with IT on all billing related initiatives to enhance productivity and achieve organizational goals.
* Provide data-driven insight and foster strong relationships with internal stakeholders, including division leadership, project managers, and finance team members, to ensure effective communication and collaboration.
* Champion Westwood's mission, vision and values, and promotes a "One Team" culture.
* Other duties as assigned.

Required Experience

* Proven ability to manage teams effectively with 2+ years of leadership experience in a billing or finance environment.
* Experience in project management, particularly IT or ERP-related projects, with a track record of delivering successful outcomes.
* Strong analytical and problem-solving skills, with the ability to drive process improvements and implement best practices.
* Extremely organized, proactive, with the ability to manage multiple priorities with grace, and follow through on both personal and team commitments.
* Demonstrates active listening techniques and fosters mutual understanding.
* Sensitive to confidentiality and displays strong integrity when managing personnel and financial data
* Approachable and collaborative, with a friendly and professional demeanor that encourages teamwork.
* Communicates clearly and concisely with all stakeholders, and effectively manages conflict while remaining calm under pressure.
* Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
* Delegates assignments effectively and determines appropriate methods and procedures to achieve team goals.
* Ability to be open to others' ideas and willing to compromise.
* Detail-oriented, yet capable of conceptual thinking and seeing the bigger picture
* Able to follow general directions and guidelines for the firm's policies, practices, and procedures.



Preferred Experience

* Experience with Deltek VantagePoint and/or other Deltek software
* Strong management background with 3+ years experience
* Background in accounting and/or 4+ years billing experience
