Departmental Overview

UC Berkeley's University Health Services (UHS) is a fully accredited comprehensive university health service providing primary medical care, counseling and psychological services, and innovative health promotion programs for students, faculty and staff. UHS provides on-campus medical care and coordinates supplemental needs for off-campus care through a network of community specialists and hospitals. The Clinical Services Program within the UHS includes urgent care, primary care and specialty clinics, laboratory, pharmacy, physical therapy, radiology, and a major medical insurance plan.

Approximately 65,000 visits occur annually including Primary Care, Urgent Care, Occupational Health and Specialty Clinics. Services are designed to enable students to get the most from their educational experience, minimizing the impact of illness, injury and emotional distress on their academic careers. Medical care and wellness programs for faculty and staff are designed to meet their occupational health needs and minimize lost work time. These visits generate ancillary encounters with the Radiology, Clinical Laboratory, Physical Therapy and Pharmacy departments. The Counseling and Psychological Services department sees an additional 15,000 visits per year.

Position Summary

Under general supervision this position will provide a high level of accurate functioning. These responsibilities include performing treatments and diagnostic procedures that reflect sound knowledge of medical assistant skills.

Responsibilities

Intake, Patient Care and Check Out. The incumbent may perform both front and back office tasks, and will be primarily stationed at one, and float to the other station as needed.

  • Open the clinic by unlocking exam rooms, turn on computers, warm exam tables, print schedules of daily appointments for clinicians, print labels.
  • Prepare for efficient clinic flow by reviewing patient charts and setting up exam rooms.
  • Answer telephones, field questions, take clear and accurate messages and follow through to completion or refer to appropriate personnel as required to meet patient needs.
  • Retrieve patients from the waiting room, call them by their preferred name or last name, introduce yourself and explain that you will start the visit by getting vitals.
  • Take all vital signs and rooms patient as per unit guidelines.
  • Document findings and report abnormal findings to RN or clinician.
  • May be responsible for additional vitals in special patient populations, for example orthostatic vital signs.
  • Dispense specimen containers and instruct patients in specimen collection and perform specific testing as defined by assigned unit., i.e. urine dipstick, urine pregnancy tests.
  • Assist clinicians with examinations and procedures, including ultrasound, injections, biopsies, using sterile techniques as indicated.
  • Fit, apply and instruct patients in proper use of ace wraps, splints, slings, post-op shoes, crutches or canes.
  • Perform procedures according to department protocols and guidelines, which may include visual acuity using Snellen chart, administering vaccines, placing TB skin tests, EKGs, suture removal, etc.
  • Document in EHR after taking vitals, performing procedures, and completing nursing orders.
  • Review the after-visit summary and ensure the patient receives appropriate information and resources before they leave the clinic.
  • Communicate via the EHR to update and follow-up with referring clinicians, athletic trainers, and patients regarding discharge plan and follow-up recommendations.
  • Collaborate with the referral coordinator to ensure routine and urgent referrals are entered into the referral process, and that the patient has been instructed on the process.
  • May be asked to float to other units within University Health Services.
  • May participate in on-site immunization and vaccine fairs.

Clinical Reception

  • Greet patients, verify eligibility, accurately complete registration of patients and verify that compliance forms are complete.
  • May handle more complex registration questions or patient complaints.
  • Help cover Specialty/Travel Immunization clinics front desk and telephone calls to the front desk, which has a high volume and requires specialized knowledge of providers and appointment types and schedules.
  • Schedule/reschedule patient appointments, using a computerized EHR to maximize clinic efficiency.
  • Prioritize clinical operations and clinician support with administrative duties, which includes maintaining and ordering supplies.
  • Direct or escort patients as necessary.
  • Ensure that patients leaving the clinic have discharge instructions, patient handouts, forms and referral information.
  • Assist RNs in the Travel/Immunization clinic, schedule and check in RN patient appointments.
  • Review incoming faxes and distribute them to appropriate clinical personnel.
  • Enter service request tickets to IT for kiosk, desktop computer, or EHR issues.
  • May help input data for infectious disease reporting in local and state public health database.
  • May assist with EAP and Health Clearance Coordination: Prepare the necessary documents for EAP and health clearances.

Clinic Maintenance and Supplies

  • Demonstrate ability to use office equipment and clinical equipment correctly and safely. Inspect equipment and report any problems.
  • Perform routine maintenance on equipment, may also assist with arranging annual calibration or service of equipment as required.
  • Daily or routine restock supplies in exam rooms and the clinic team room, including patient handouts and resources.
  • Inventory and restock office supplies and patient handouts for the front desk.
  • Maintain regular inventory of supplies and medications, order and restock supplies and medications.
  • Clean exam rooms and keep the clinic clear of hazards, assist with removing and replacing medical waste containers.
  • Process contaminated instruments, prepare instrument packs for sterilization and sterilize equipment as needed and per infection control guidelines.
  • Report, document, and correct if possible, any unsafe conditions or adverse incidents.
  • Participate in annual skills training, safety training, etc.
  • Participate in clinic and committee meetings.

Complex or Advanced support

  • Organize and prioritize workload for timely task completion with frequent interruptions or competing demands.
  • Maintain knowledge of individual specialty clinician's area of expertise, preferred procedure set up, help ensure appointments are scheduled appropriately.
  • May provide clinician support with IT or EHR issues.
  • May request urgent record from emergency room visits, or community provider visits for same day appointments, may access provider portals with outside facilities for relevant patient records.
  • Assist in updating and maintaining unit protocols and manuals.
  • May assist in updating MA training tools.
  • Evaluate clinic workflow and present ideas for improvements.
  • Serve as an active participant in a relevant and assigned UHS committee.
  • May assist with daily MA schedule changes due to staffing needs.
  • May assist with training of entry level assistants/students and serve as a resource for MAI and trainees.
  • Other duties as assigned, such as phlebotomy if incumbent has a CPT license.

Required Qualifications

Education & Certifications

  • Graduation from high school (or GED).
  • Completion of Medical Assistant training through accredited program/school.
  • Current BLS/CPR certification.

  • Must have full competencies checked off to be able to receive assignments for: front office, medical reception, back office, procedure clinic, COVID test sites, administering vaccinations, TB plants, application of orthopedic supplies, appointment office and advice, and additional assignments or skills sets as they arise.
  • Excellent customer service skills, telephone etiquette, accurate and timely communications.
  • Demonstrates solid knowledge of the diverse patient groups served at UHS and the scope of services our patient groups are entitled to based on eligibility.
  • Well-developed people skills and the ability to remain calm under pressure; demonstrated sensitivity to ethnic, culture and lifestyle variety.
  • Excellent verbal and written communication skills.
  • Ability to understand and follow written protocols for patient care.
  • Demonstrates advanced utilization of medical terminology and knowledge of and/or can quickly learn how to access UHS resources.
  • Must have skills to work independently and participate as a team member in a highly collaborative work environment.
  • Must understand and comply with HIPAA, and all regulations regarding the confidentiality of medical records.
  • Must be literate with EHR systems and patient tracking.

Preferred Qualifications

  • Current CA phlebotomy certification (CPT1) (if performing phlebotomy).
  • Registered Orthopedic Technician (ROT) certification.
  • NIOSH (National Institute for Occupational Safety and Health) spirometry certification and/or course, experience or working toward certification.
  • Experience in casting.

This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

  • This is a full-time (40 hours/week), 11-month partial-year career position that is eligible for UC Benefits.
  • This is a non-exempt, biweekly-paid position.

  • This is not a visa opportunity. This position does not include sponsorship of a new consular H-1B visa petition that would require payment of the $100,000 supplemental fee.
  • Partial-year appointments are career appointments established with regularly scheduled periods during which the incumbents remain employees but are not at work. These scheduled periods during which employees are not at work are designated as furloughs and are unpaid. Such scheduled periods need not be consecutive in time. Furloughs are not to exceed a total of three months in each calendar year.
  • Your employment is dependent on obtaining and maintaining a credentialing clearance (if applicable), background clearance and medical clearance according to University Health Service policies.
