SUMMARY

Provide clerical services and support for the Maintenance and Reliability Department

DUTIES AND RESPONSIBILITIES

May include, but are not limited to, the following:

  • Coordinate maintenance employees' timesheets and attendance information.
  • Tracking maintenance employees' vacation and request.
  • Create, update and maintain hardcopy equipment record files and technical books.
  • Create, update and maintain pressure vessel files.
  • Create, update and maintain relief valve files.
  • Assist in creating new equipment in SAP/Meridium.
  • Assist in creating and updating equipment BOMs in SAP.
  • Maintain Reliability Group project database.
  • Review all open MOCs for reliability group and help get them closed out.
  • Track reliability group AFEs and ESRs.
  • Enter W/O findings into SAP for maintenance repair jobs.
  • Track maintenance/reliability procedure reviews and make sure they are reviewed before the review dates.
  • Serve as the department's primary administrator for the Electronic Data Management System (EDMS).
  • Track all maintenance/reliability service agreements and notify personnel when they are 90 days from being updated.
  • Manage Reliability time database and send accounting time for each month.
  • Keep Maintenance/Reliability website up to date.
  • Assist in compiling Reliability Group and Maintenance monthly reports and KPI metrics.
  • Assist the Reliability group with Meridium data entry and tasks management.
  • Keep all KPI graphs updated on the poster boards each month.
  • Assist in documenting equipment failures in SAP.
  • Distribute new/updated drawings, equipment manuals to supervisors for the Maintenance Department.
  • Take minutes of meetings, type and distribute minutes to appropriate personnel.
  • Review service contractor data and verify work is completed. Enter service receipts. Expected to develop a high level of expertise on VIM processes, coordinate problem solving for VIM issues with Purchasing, requisitioners, and Accounts Payable, and monitor slow moving VIM items.
  • Resolve any questions on invoices and purchase orders.
  • Design reports and database in Access.
  • Design forms in Excel and Word.
  • Coordinate lunches for the department.
  • Order and maintain office supplies.
  • Perform other services and assistance as required.
  • Perform duties in a manner that protects personal safety as well as the safety of all personnel on site. Whenever appropriate, promptly report Safety, Health or Environmental incidents or issues to management so the situation can be corrected. Attend Monthly Safety meetings to help prevent off-site and job accidents.

EDUCATION, EXPERIENCE AND QUALIFICATIONS

  • High school diploma or the equivalent is required. Some college preferred
  • 5 years of clerical experience is required. (or 3 years plus a 2 year college degree in a related field. Accounting experience preferred.
  • Experience in SAP, Workday, MS Office applications, EDMS, and Meridium strongly preferred
  • A high degree of professionalism expected

PHYSICAL DEMANDS

This job is performed mainly in control room or office setting; physical presence is required. While performing the duties of this job, the employee is frequently required to sit, stand, walk; have full use and range of motion of arms, hands and fingers to reach, grasp, hold, push or pull, twist, and work with tools; and talk or hear. The employee is occasionally required to perform tasks that may require bending, stooping, kneeling, and crouching. The employee must be able to move safely over uneven terrain or in confined spaces. The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 15 pounds, and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. The employee must be able to see details of objects that are more/less than a few feet away; see differences between colors, shades and brightness and determine the distance between objects. This job requires response to audible emergency alarms inside of the plant. Employee must be able to evacuate when required.

WORK ENVIRONMENT

The employee must be able to work in a normal factory environment. The noise level in the work environment is usually moderate as normally based in an office. Some of the work may be required in the maintenance shop, which can require usage of required PPE including safety glasses, hearing protection, flame retardant clothing, etc. May also result in exposure to outside elements and will require usage of stairs and elevators. Travel including air travel or auto travel may occasionally be required.
