Job Description

The Office Support Assistant provides essential administrative support and plays a key role in academic operations, staff and faculty engagement, and event coordination within the School of Pharmacy. This position supports faculty, staff, and students across multiple sites and contributes to the success of educational initiatives. The role requires strong organizational skills, attention to detail, and the ability to manage complex scheduling and coordination tasks.

Responsibilities:

  • Coursework and Student Support
    • Assist coordinators with coursework administration and scheduling.
    • Assist with proctoring exams and managing student accommodations.
    • Serve as a resource for faculty and students during simulations and interprofessional activities.
  • Event & Engagement Coordination
    • Plan and execute staff and faculty engagement activities and events.
    • Arrange logistics such as catering, room reservations, AV setup, and materials.
    • Draft and distribute event announcements and newsletters.
  • Administrative Support
    • Provide general office support, including scheduling, correspondence, and record-keeping.
    • Assist with expense reports and purchasing for events and office needs.
    • Maintain accurate documentation and track budgets for events and coursework.
  • Collaboration & Culture
    • Support culture-building activities and initiatives within the School of Pharmacy.
    • Act as an extension of Office Support Associate, providing backup and assistance as needed.
    • Coordinate with faculty and staff across all three sites to ensure smooth operations
Minimum Qualifications

  • High school diploma or equivalent.
  • At least five (5) years of experience from which comparable knowledge and skills can be acquired.
Preferred Qualifications

  • Experience in event planning or staff engagement initiatives.
  • Proficiency with Microsoft Office Suite and scheduling tools.
  • Strong interpersonal skills and ability to work in a team-oriented environment.
  • Strong communication and organizational skills.
  • Ability to manage multiple priorities and work independently.
  • Experience working in a higher education or academic setting.
Anticipated Hiring Range

Up to $20.00 per hour commensurate with education, experience, and internal equity.
