Position Summary
This position will serve as the Experiential Program Manager and will offer executive-level support and will play a vital role in supporting the operations of the Law School's Experiential Clinical Programs, including program governance, coordinating with external partners and HR, and supervisory and finance duties. The position will also assist the Associate Dean with strategic projects, program design, and student support. The Experiential Program Manager will report to the Associate Dean for Clinical Programs and Experiential Learning at the School of Law.

Clinical Program Administration

  • Operate on behalf of the Associate Dean for Clinical Programs and Experiential Learning.
  • Develop, maintain, and disseminate policies and procedures.
  • Manage clinical faculty operations by organizing meetings (agenda collection, scheduling, note-taking, and distribution), coordinating clinical subcommittee charges and reports, and organizing annual workshops.
  • Coordinate program data collection to inform program design.
  • Assist the Associate Dean with strategic projects.

Duties/Responsibilities
Communication Management

  • Operate as the primary point of contact for both internal and external stakeholders at the UGA Clinical Programs including to the Dean's Office and other Law School units on experiential education matters; respond to or direct inquiries appropriately.
  • Coordinate communication and operations by managing visitors and the clinic phone line; collaborate with faculty and administrators to provide accurate updates on clinic activities; maintain the clinic alumni database.
  • Prepare and submit reports for ABA compliance, service learning, and university requirements.
  • Support student engagement by coordinating admitted student outreach, conducting student polling on experiential education interests, and assisting with class preferences and room scheduling.
  • Proactively collaborate with other departments and offer assistance on experiential learning initiatives.
  • Assist with maintaining and updating clinic websites.
  • Develop, compile, and distribute clinic communications, including newsletters and social media content.

Business Operations


  • Supervise staff in the clinical programs, including overseeing assignments and coordinating or providing training on HR and finance processes.
  • Ensure direct reports adhere to all UGA and USG HR and Payroll policies and procedures including performance evaluations, hiring and onboarding, time and absences approvals, employee development, and UGA required training.
  • Track and review HR matters; assist with compiling materials and coordinating committees for faculty hiring and promotion.
  • Assist with clinic and externship budgets, external funds; prepare accurate program cost projections; assist with budget reports, and supporting materials for grant applications and development initiatives.
  • Manage office supplies inventory, create purchase orders, and coordinate delivery for the Experiential Programs.

Event Management

  • Delegate, coordinate, and execute clinic events, including town halls, speaker engagements, and admissions or development presentations; prepare and update related presentation materials.
  • Create and deliver presentations to various audiences.
  • Process all related financial transactions for events within 30 days of the event.

Facilities Management


  • Manage office space logistics, including coordinating access lists each semester, organizing office moves, and scheduling shared rooms.
  • Oversee and ensure maintenance of shared equipment such as copiers.
  • Maintain and update building signage.
  • Serve as the primary contact with facilities management, including submitting, scheduling, and overseeing maintenance requests.

  • Manage the clinic and externship application portal, including creating and distributing annual application timelines.
  • Oversee student timekeeping processes in collaboration with IT.
