| Position Summary |
This position oversees the day-to-day operations of the Small Animal Emergency Front Desk staff. Responsibilities include preparing employee monthly work and on-call schedule by providing appropriate and adequate coverage Sunday to Saturday, 6am to 2am. This position is also responsible for leading initiatives to support and improve the overall client experience with our emergency service. Will work closely with the financial services department to make sure charges and payments are being captured and recorded correctly by the Emergency/Critical Care front desk team. In addition, processing and delivering client messages to medical staff so communication flows efficiently. This is a working supervisor position and will be scheduled within the shift rotations to augment services provided by the emergency front desk. |
| Knowledge, Skills, Abilities and/or Competencies |
1. Proven ability to deliver excellent customer service, in a calm, professional manner, during challenging circumstances
2. Considerable knowledge of bookkeeping procedures; as well as the ability to make complex and arithmetic computations and tabulations accurately and rapidly
3. Ability to maintain effective collaborative relationships with faculty, staff, students, clients, and other stakeholders
4. Successful utilization of Microsoft Office Suite, especially Word, Excel, and Outlook. Ability to learn and become proficient in other needed programs such as Vetview
5. Proven knowledge of veterinary terminology
6. Excellent verbal and written communication skills needed, with strong multi-tasking skills
7. Ability to operate and maintain a multi-line phone system, as well as common office machinery such as a copier, scanner, fax machine, and printer
8. Able to maintain confidentiality with sensitive information
9. Ability to use critical decision-making skills to ensure efficient daily operations of the front desk |

- Oversee the day to day operations of the Small Emergency Front Desk with adequate staffing and supplies
- prepare monthly work and on-call schedule to provide adequate coverage Sunday to Saturday, 6am to 2am.
- Anticipate and resolve basic client needs or issues that might arise regarding patient and client experience
- handle fast paced and sometimes stressful situations with a calm demeanor and no reduction in proficiency
- Develop a system of communication between the front desk and the doctors, nurses, and students working on the treatment floor
- Track and maintain medical records throughout the hospital for hospitalized patients that have arrived through Emergency/Critical Care

| Duties/Responsibilities |
- As a working Supervisor, this position will fill in as needed.
- Assist in triage of patients, when needed, to determine level of care needed by restraining, clipping fur, providing medical instruments/machines and assisting in the completion of patient profile information.
- In doing so, this position will assist in checking in clients, opening and updating electronic records, and notifying medical personnel of patient arrival, appropriately prepare the medical record with necessary documents, estimates, and history forms
- Field client calls and answer general inquiries about services provided, estimates, billing questions, payment options and scheduling via phone and face to face interactions
