Executive Assistant - Investor Relations and Corporate Finance

We are currently seeking an Executive Assistant - Investor Relations and Corporate Finance that will provide comprehensive administrative and operational support to the Investor Relations (IR) team. This role ensures smooth day-to-day operations, facilitates communication between investors and internal teams, and assists with scheduling, documentation, and event coordination for IR activities.

Essential Duties & Responsibilities

  • Administrative Support
    • Manage calendars, schedule meetings, and coordinate travel arrangements for IR leadership.
    • Prepare and process expense reports and invoices.
    • Maintain investor contact lists, distribution lists and update CRM systems.
  • Event & Meeting Coordination
    • Organize investor events, conferences, quarterly updates, and roadshows.
    • Prepare agendas, meeting materials, and briefing documents.
    • Track RSVPs and manage logistics for investor-related events.
  • Communication & Documentation
    • Act as the first point of contact for investor inquiries.
    • Assist in drafting, proofreading, and editing investor communications and presentations.
    • Record and distribute meeting minutes, ensuring follow-up on action items.
  • Data & Reporting
    • Maintain accurate investor records in CRM.
    • Track investor communications and commitments.
    • Support preparation of reports, presentations, and marketing materials.
  • Office & Facilities Management
    • Oversee daily office operations, supply ordering, and mail handling
    • Serve as Safety Monitor, conducting audits and orientations
    • Maintain seating and evacuation maps
  • Other duties as assigned

  • Bachelor's degree in Finance, Communications, or related field required

  • 2+ years of experience providing administrative support to senior leaders in investor relations, or related corporate environment.

  • Strong organizational and time-management skills with attention to detail.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word); experience with CRM systems (e.g., Dynamo, Salesforce) preferred.

  • Ability to handle confidential information with discretion.

  • Familiarity with investor relations processes and compliance requirements is preferred.

  • Ability to manage multiple priorities in a fast-paced environment
