Overview

Performs administrative and clerical duties in support of the Military Science Department.
* Answering and directing telephone calls.
* Scheduling appointments
* Event Planning for Cadet retention parties, commissioning ceremonies, etc.
* Preparing correspondence and packets for award submission
* Maintain In-house database for scholarship tracking, physical fitness scores, academic grade point averages for award criteria
* Maintain University Budget, monthly reconciliation, submit monthly credit card reports.
* Purchasing supplies for departmental needs and student events.
* Maintain and update contact information of donors for annual campaign to send care packages to deployed alumni.
* Representing the ROTC program at local high schools, college fairs, and community events, building relationships with prospective students, educators, and parents to promote opportunities within ROTC.



Responsibilities

* Serve as point of contact for department
* Answering, screening and directing telephone calls for department
* Scheduling appointments/meetings and maintain calendars as needed.
* Assist in and coordinate various Cadet Events and trips to include purchasing supplies, food/refreshments, room reservations, etc.
* Maintain In-house database to track academic, Aptitude Physical Fitness Test for awards for GPA and PT awards.
* Submit packets for scholarship awards, as well as request awards from various Veterans organizations.
* Assist in the coordinating commissioning ceremonies for each of the Association Colleges for the St. Lawrence Valley.
* Purchase supplies for department. Monitor and maintain university budget to reflect monthly expenses and credit card reconciliation,
* Coordinate with Student Administration Services for academic records, course information and class schedules.
* Represent the ROTC program at local high schools, college fairs, and community events, building relationships with prospective students, educators, and parents to promote opportunities within ROTC.
* In-process new faculty members to include submission of paperwork to Human Resources and coordinating with the Office of Information Technology (OIT) for access to email, peoplesoft, etc. Order nameplates and business cards as well as adding them to the Command Notification Roster to submit to brigade and other members within the department.

* Manage a geographic recruitment territory: successfully manage and increase inquiries, applicants, and outreach initiatives.
* Completes other duties as assigned.



Qualifications

Minimal Qualifications: Bachelors Degree.

Preferred Qualifications: Two or more years of experience in customer service and/or working with students and somewhat familiar with Military service.

* Proficient in Microsoft Office programs to include, Excel, Word, Powerpoint, publisher and Access as well as university databases (peoplesoft: financial and student records)
* Excellent oral and written communication skills.
* Exceptional customer service and inter-personal skills.
* Effective time management skills/ability to meet deadlines.
* Ability to act independently with minimal supervision
* Able prioritize tasks according to importance, suspense dates, etc.
* Must be flexible and able to switch tasks to assist other members within the department, Cadets, and visitors.
* Must be able to work independently with little guidance to research, recommend, and implement assigned tasks.
