Position Summary

Our Marketing Assistant is a highly organized and proactive team player that supports the marketing and sales team for one or more brands. This role is instrumental in coordinating events and trade shows, assisting with strategic partnerships, managing essential marketing and promotional materials, and ensuring our data is meticulously organized. The Marketing Assistant provides marketing support to the sales team and handles vital administrative tasks that keep operations running smoothly!

Responsibilities

Events & Trade Show Coordination and Execution:

  • Assist with the planning, logistics, and execution of company events and industry trade shows from start to finish.
  • Coordinate event registrations, booth setup, material shipping, and vendor communications.
  • Support on-site event activities, including attendee registration, booth management, and lead collection.
  • Facilitate post-event follow-up, including lead distribution and performance tracking.
  • Closely monitor trade show inventory and marketing collateral order fulfillment for sales channel and coordinate replenishment as needed.
  • Setup material part numbers.
  • Track and monitor back orders.

Partnerships & Sponsorships Assistance:

  • Help identify potential partnership and sponsorship opportunities aligned with our marketing objectives.
  • Assist in the coordination and communication with partners and sponsors, ensuring all agreements and deliverables are met.
  • Support the execution of co-marketing initiatives with partners.

Marketing & Promotional Materials Management:

  • Assist in the creation, inventory, and distribution of marketing collateral, including samples, brochures, flyers, presentations, and promotional items.
  • Ensure all materials adhere to brand guidelines and are readily available for sales and marketing needs.
  • Coordinate with external vendors (e.g., printers, designers) for material production and delivery.

Sales Team Marketing Support:

  • Function as a marketing contact for the sales team, fulfilling requests for marketing materials, presentations, and lead lists.
  • Assist in customizing marketing content and proposals for specific sales opportunities.
  • Support the coordination of sales enablement tools and administer and track sales programs.
  • Provide administrative support including managing phone calls, email correspondence, processing invoices, marketing orders, promotional credit memos, and expense tracking.
  • Support the execution of loyalty marketing campaigns by coordinating with internal teams and external partners.
  • Other Administrative Duties as assigned.

Personal Attributes and Experience

  • Bachelor's degree in Marketing, Communications, Business Administration, or a related field.
  • Minimum of 3 years of experience in a marketing assistant or similar support role.
  • Familiarity with graphic design principles and tools (e.g., Adobe Creative Suite, Canva) is a plus.
  • Proven experience in assisting with event and trade show coordination and execution.
  • Strong organizational skills and meticulous attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
  • Proactive, self-motivated, and a team player with a positive attitude.

Work Environment

Typically an office environment, with potential for travel (up to 15%) for industry events, trade shows, channel/industry partner engagement, etc. Ability to lift and transport marketing materials (up to 25 lbs) for events. May require some flexibility in hours leading up to and during events.
