Compensation

Salary Range: $22.56 - $32.31 / hour

The pay range above represents the lowest possible rate for the position and the highest possible rate. Factors that may be used to determine where newly hired employees will be placed in the pay range include the employee specific skills and qualifications, relevant years of experience and comparison to other employees already in this role. Most often, a newly hired employee will be placed below the midpoint of the range.

Pay for PRN positions is calculated differently than Full-Time, Regular Part-Time, and Part-Time positions. PRN Rates depend on the position and other factors, including years of experience, or shift commitment according to the department policy. PRN differential is added in certain positions.



Responsibilities

The Environmental Services Office Coordinator provides administrative support to the Environmental Services and Laundry Departments. This position coordinates the organization and administrative functions of the departments; interacts with employees, manages scheduling and payroll corrections, schedules appointments, coordinates lost-and-found items and inquiries, researches equipment and supplies, creates purchase requisitions, works with vendors and purchased services, monitors and tracks employee compliance requirements, and maintains monthly tracking reports related to staffing and quality. The Environmental Services Office Coordinator demonstrates a passion for excellence and interacts with staff, visitors, and patients in a warm and friendly manner.



Qualifications

Minimum Qualifcations:

    High school diploma or equivalent (GED)
  • Proficient in Microsoft Office, including Excel, Word, Outlook and Teams
  • Bilingual in English and Spanish

Preferred Qualifications:

  • Associate of Arts (A.A.) degree
  • Six (6) months of related experience and/or training

Essential Functions and Responsibilities:

  1. Facilitates departmental staffing, including census, messages, projects, PTO, sick calls, and payroll corrections
  2. Compiles prior day's information and logs into a summarized format to brief leadership and staff
  3. Manages departmental telephone calls and dispatches work assignments to optimally serve multiple departments while prioritizing and communicating with all parties
  4. Coordinates staffing according to census and schedule, ensuring leadership is aware of departmental needs; makes calls to employees to cover shifts and duties to meet patient and clinical requirements
  5. Tracks daily data and information in electronic and physical formats to meet compliance requirements in a complex operating environment
  6. Tracks, prioritizes, and reports on bed status; communicates and follows up with team members as needed; works with the house supervisor's office to coordinate priorities
  7. Receives, organizes, and maintains records of waste streams to ensure compliance with medical, sharps, pharmaceutical, RCRA, and chemotherapy waste regulations
  8. Maintains Safety Data Sheets (SDS), departmental chemical inventories, and product records
  9. Receives work requests from multiple areas and tracks completions back to the originator
  10. Maintains the EVS/Laundry shared drive to ensure resources are up to date
  11. Creates work documents, copies, files, and maintains records of daily task assignments
  12. Schedules and organizes departmental events, including catering requests and meeting space reservations
  13. Creates work requests for equipment preventive maintenance or repairs and tracks completions
  14. Oversees supply orders and maintains stock for patient items, office products, and other assigned materials; prepares purchase requisitions, obtains approvals, and tracks orders and lead times
  15. Coordinates the department meeting room calendar to ensure spaces are properly set up; sets up rooms with tables, chairs, and other items when staff are unavailable
  16. Maintains employee files and departmental records in strict adherence to confidentiality standards
  17. Maintains and manages patient items while demonstrating an excellent understanding of HIPAA requirements
  18. Prepares and maintains records such as meeting agendas, staff notices, and meeting minutes
  19. Creates and maintains databases and spreadsheets for daily staff assignments, schedules, records, policies, in-services, and lost-and-found items
  20. Creates and processes purchase requisitions and invoices through an electronic system while maintaining records of purchases and invoices
  21. Maintains a neat, clean, and organized work environment
  22. Works on special projects as assigned
  23. Performs other duties as assigned
