Quotation Specialist

Job Responsibilities

As Quotation Specialist, you will compile comprehensive bid packages including technical scope, commercial terms, lead times, warranty, terms/conditions, and delivery schedules.. This position reports directly to our General Manager.

Your specific duties in this role will include:

• Prepare and deliver timely, accurate quotes for pipe, valve, and fittings projects to Production, Midstream, and Drilling Customers.
• Prepare and present bid summaries to sales leadership and project teams; respond to customer questions during the bid process
• Source and solicit quotes from approved vendors and distributors; manage RFQs, bid invitations, and supplier communications.
• Conduct cost analysis, supplier comparisons, and value engineering to optimize total project cost without compromising quality or compliance.
• Develop and maintain pricing models, subcontractor/vendor databases, and standardized quote templates.
• Collaborate with engineering and project teams to ensure proposed solutions meet technical requirements and codes (e.g., ASME, API, ANSI, PIP, ISO) and customer specs.
• Review drawings, specifications, and P&IDs for accuracy; raise clarifications and change requests as needed.
• Maintain and update ERP/CRM systems with quote status, supplier quotes, costs, and margins.
• Support post-bid activities, including clarifications, and negotiation with customers.
• Monitor market trends for pipe, valve, and fittings to inform pricing strategy and risk management.
• Ensure compliance with company policies, procurement procedures, and quality standards.
• Prepare and present bid summaries to sales leadership and project teams; respond to customer questions during the bid process.

Requirements

As a Quotation Specialist, you should have strong business acumen, analytical & problem solving skills, accounting knowledge. Strong administrative, project management, and mentoring abilities. Work hands on alongside the team to satisfy customer needs as well. Use your ability to establish rapport and build solid relationships with service staff and a wide variety of customers.

Specific qualifications for the role include:

• 2+ years of quotation or pricing experience
• High school diploma or GED
• Written and verbal communication skills, including English grammar
• Solid understanding of financial and accounting concepts
• Computer proficiency and the ability to quickly learn
• Organizational, multi-tasking, analytical skills
• Sense of urgency, sense of humor
• Industrial sales / distribution experience, preferred
• ERP / SAP experience, a plus
• This position is not eligible for relocation benefits and is expected to be performed on site.
