Posting Summary
Rutgers, The State University of New Jersey is seeking a Program Coordinator II for the Office of Federal Relations in Washington, DC. This position reports to the Associate Director of Federal Relations.
Among the key duties of the position are the following:

  • Provides administrative support to the Senior Director, Associate Director, and Senior Program Coordinator for Rutgers Scarlet Service in Washington, DC (RSS-DC).
  • Manages office equipment and files such as the phone system, computer network, and electronic files.
  • Monitors the department's expenses and ensuring timely payment to vendors.
  • Maintains staff calendars.
  • Resolves facilities issues.
  • Guides the work of part-time staff and interns.
  • Assists the Senior Director and Associate Director with the University's federal relations activities through a variety of tasks.
  • Sets up meetings between key federal stakeholders, their staffs and various officers, faculty, staff and students of the University.
  • Plans and manages special events and receptions in an efficient and orderly manner.
  • Assists with requests from key stakeholders, which require a courteous, timely and articulate response.
  • Tracks legislation and attending Congressional hearings that are of interest to Rutgers;
  • Represents the University at higher education association meetings in Washington as needed, and helps the University stay informed about higher education community trends and positions.
  • Supports the Office's work to promote Rutgers to federal stakeholders and advance university priorities, which includes maintaining the office website, social media presence, and disseminating information to the university community and federal policymakers.

Minimum Education and Experience
  • Bachelor's degree or an equivalent combination of education and/or experience.

Preferred Qualifications

  • Knowledge of Rutgers University and New Jersey as well as event coordination and meeting planning experience.
    Familiarity with Capitol Hill and the federal legislative process.
  • Previous work experience in a government and/or nonprofit setting in Washington, DC, and/or in the State of New Jersey.
  • Experience in government relations, civic engagement, or public administration.
  • Strong research skills, including experience with federal legislative research.
  • A high-energy, creative problem-solver, and strategic thinker who is receptive to change.
  • Familiarity with Rutgers University schools, processes and policies, and systems.

Equipment Utilized

  • MS Office, including Excel and PowerPoint.
  • Canva or other graphic design software.

Physical Demands and Work Environment
  • Event set up/breakdown, including moving tables and chairs, and transporting supplies.
