Position Summary
The Reservations and Administrative Coordinator provides oversight for all aspects of events conducted at Rock Eagle 4-H Center. Responsibilities include managing reservations calendar, facilities and banquet coordination, budgeting, pricing structures, receiving payments, checking in with onsite groups, receiving feedback from guest groups, development of marketing materials, maintaining operational standards, goal setting, increasing awareness of services, and oversight of the functions of the administrative office. The Reservations and Administrative Coordinator also assist with registration of 4-H events including summer camp and other annual 4-H events.

Communication is a key skill to the success of the position. The person in this role will be expected to effectively communicate and distribute information.

Rock Eagle 4-H Center host over 500 events serving over 50,000 participants annually. Rock Eagle offers a variety of conference services including lodging, meals, programs, and meeting space. The Reservations and Administrative Coordinator will need to accommodate multiple guest groups at the same time.

The Reservations and Administrative Coordinator will work with user groups to ensure onsite needs are met including menu selections, allergen awareness, and building set ups, lodging needs, programming and other related requests. The person in this role will work closely with the center director and other department managers to ensure communication is taking place across all departments at Rock Eagle 4-H Center. The Reservations and Administrative Coordinator is responsible for the operations of Rock Eagle 4-H Center administration office providing leadership, direction, and vision to the administration team. Oversight includes strategic planning, goal setting and administration. Establishes and maintains operational policies such as uniforms, attendance, and cooperation while focusing on high-quality, customer centered outcomes.

The Reservations and Administrative Coordinator receives direction from the 4-H Center director and participates as a core member of the leadership team at Rock Eagle 4-H Center, which is built on relationships, respect and the pursuit of excellence. This includes assisting with the development and implementation of center wide trainings and staff enrichment opportunities.

Occasional weekend and evening work as well as on call hours.

  • Excellent organizational skills to effectively coordinate a number of events at the same time while managing a large number of details

  • Basic knowledge of facility operations including AV equipment and banquet services
  • Excellent communication skills including telephone, email, and in person
  • Computer efficiency including ability to navigate online reservation systems, Microsoft suite, and other online platforms
  • Ability to facilitate meetings related to guests needs and facility operations
  • Ability to manage staff and provide feedback
  • Remember, organize, and consistently focus on a large amount of details and come to appropriate conclusions
  • Willingness to assist other departments when needed

This includes initial communication, checking availability and gathering necessary information from guest including participant numbers, meals, lodging, room set-ups, programming, etc. Manage online reservation system. Receive and receipt payments. Answers all other inquiries about the Center and arranges on-site visits from potential customers.
