JOB DESCRIPTION AND POSITION REQUIREMENTS

Penn State York seeks a highly organized and detail-oriented individual to serve as part-time Administrative Coordinator for the Pullo Family Center for Performing Arts.This opening plays a key role in helping to carry out day-to-day functions of the theater, helping to ensure it runs smoothly and successfully.

This opening will typically work 20-25 hours per week, with a basic schedule determined by the employee and supervisor; however, there will need to be some flexibility when events and responsibilities require hours outside the norm.Regular in-person presence is an essential function of this position.

The person in this role must be an excellent communicator, self-motivated and detail-oriented team player, willing to work collaboratively with departments across campus as well as throughout the community.

Job Duties Skills, Knowledge and Responsibilities

The Administrative Coordinator's area of responsibility will include...

  • Assisting with day-to-day administrative and operational aspects of The Pullo Center.
  • Supporting general office operations, including mail, calendars, and travel arrangements.
  • Assisting in HR tasks, including maintaining payroll records for part-time tech and event crew.
  • Coordinating with Pullo team to ensure hospitality for performances is arranged in a timely manner and set up day of show.
  • Maintaining and organizing digital and physical files.
  • Offering support to Director with administrative tasks such as coordinating schedules, meetings and logistics, expense reports, and staff schedules.
  • Assisting, as needed, on event and performance days.
Requirements and Qualifications The person in the Administrative Coordinator role will possess these key qualifications:
  • At least three years' experience in an administrative assistant-type role.
  • Must be extremely detail-oriented, have excellent interpersonal skills, ability to work in a fast-paced, multi-tasked environment, and be able to meet deadlines.
  • Professional demeanor with a strong sense of judgement, discretion and confidentiality.
  • Project management skills as well as the ability to prioritize work and demonstrate initiative while working independently.
  • Proficiency in Microsoft 365 platform, bonus if knowledgeable of platforms such as Canva and the Adobe Creative Suite.
  • A positive outlook, tempered with a sense of humor, and a commitment to representing Penn State and the Pullo Center within the community..
Education and Experience

  • A Bachelor's degree is a plus, but a combination of education and/or experience will be considered.
