The University of Arizona Cancer Center (UACC) seeks an Administrative Support Assistant III to provide comprehensive administrative support to the Population Sciences Program and the Community Outreach & Engagement (COE) Office. This position supports core business operations by coordinating calendars, travel, meetings, and events; preparing and formatting correspondence, documents, and reports; maintaining files, databases, supply inventories, and data trackers; and routing facilities, IT, and HR service requests in accordance with University policies. Serving as the primary point of contact for students, faculty, researchers, and community partners, the incumbent communicates information, compiles records, and provides guidance on administrative procedures to ensure smooth program operations. Duties & Responsibilities |
General Administrative Support:
- Maintains calendars for Associate and Assistant Directors.
- Manages travel arrangements for departmental staff, including flights and ground transportation.
- Greets visitors.
- Triages calls and emails.
- Orders supplies and equipment.
- Processes mail.
- Maintains office records and inventory.
- Orients student workers as needed.
Population Sciences:
- Schedules meetings and seminars, including room/Zoom setup, AV coordination, agendas, and minutes.
- Coordinates guest speaker visits.
- Formats non-scientific sections of reports and presentations at the request of faculty.
- Posts routine announcements to the Population Sciences webpage.
- Assists with preparing and formatting correspondence and document packages after content approval by authors or leadership.
- Ensures all documents adhere to external or University of Arizona formatting guidelines.
Community Outreach and Engagement:
- Coordinates Community Advisory Board (CAB) and Community Outreach and Engagement (COE) meetings, including scheduling, logistics, AV/virtual setup, and meeting materials.
- Submits facilities and IT service requests.
- Handles event reservations, research incentives, PCard reconciliations, reimbursements, and CAB stipends.
- Monitors expenses to ensure adherence to established budgets.
Records & Data Maintenance:
- Maintains digital and physical files, contact lists, and basic spreadsheets
- Compiles routine data reports.
- Tracks milestones and materials for complex meeting series and cross-unit or center-wide events.

Minimum Qualifications |
- High school diploma or high school diploma equivalency is required.
- Five (5) years of relevant experience, or an equivalent combination of education and experience.

Preferred Qualifications |
- 3 years of relevant work experience
- Bilingual in English and Spanish
- Experience working in University systems: UAccess (Student, Employee, Financial, Analytics, Research)

In compliance with the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act), each year the University of Arizona releases an Annual Security Report (ASR) for each of the University's campuses.Thesereports disclose information including Clery crime statistics for the previous three calendar years and policies, procedures, and programs the University uses to keep students and employees safe, including how to report crimes or other emergencies and resources for crime victims.
