Department Summary

The Advanced Materials and Manufacturing Processes Institute (AMMPI) is an institute of research excellence managed under the Division of Research & Innovation. AMMPI brings together a diverse group of researchers who are focused on developing structural materials, functional materials, computational tools, and advanced manufacturing processes to support the aerospace, automotive, and energy sectors.

Position Overview

This position is responsible for providing executive, administrative, and analytical support to the Director of Advanced Materials and Manufacturing Processes Institute (AMMPI) as well as staff and institute faculty members. The Sr Administrative Coordinator manages all the administrative support functions required for AMMPI daily operations, including but not limited to: purchasing, travel, meeting and event coordination, inventory and space management, budget reconciliation and reporting, and lab equipment user setup/tracking/billing,

Minimum Qualifications

Bachelor's Degree and five years' of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.

Knowledge, Skills and Abilities

*Advanced Microsoft Office skills.
*Knowledge of accounting/budgeting procedures.
*Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
*Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
*Ability to conceptualize, plan and organize multiple programs and assignments effectively.
*Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
*Skill in developing and maintaining good working relationships. Knowledge of policies, practices, procedures and terminology of assigned function.

Job Duties:



  • Maintain Directors correspondence and manage Directors calendar; Schedule appointments; Coordinate collection and preparation of materials for meetings and conferences, including presentations, agendas, and meeting minutes; Serve as institute receptionist; screen calls and visitors for Director and other professional staff.
  • Manage departmental records retention and business continuity efforts. Review, route, and record incoming forms. Prepare human resources and personnel documents. Manage the annual campus-wide space survey and inventory certification process. Provides customer support for AMMPI staff, institute faculty, and acts as department liaison for collaboration with all UNT and UNT System stakeholders.
  • Coordinate departmental travel arrangements and reimbursements; Manage departmental budgets and all purchasing activities; Maintain office supplies, assets, and equipment; Serve as departmental timekeeper for salaried and hourly employees.
  • Prepare lab equipment user setup paperwork, manage FOM software for equipment usage authorization and tracking, prepares IDTs and invoices for internal and external equipment usage. Maintenance of lab user records for review by UNT entities and auditing.
  • Assist faculty members with research grant submission by coordinating with the AMMPI Proposal Manager.
  • Other duties as assigned by supervisor
