Job Summary

The Mail Assistant (MA) plays a vital role within the Housing & Residential Experience team, serving as the primary point of contact and representative of the Housing Package Center (HPC). MAs provide exceptional service and act as a resource for current student residents, ensuring efficient processing, distribution, and delivery of packages and mail. As collaborative members of the Housing staff, MAs work closely with colleagues and external carriers to maintain smooth mailroom operations that reflect the departments mission, vision, and values. Responsibilities include managing the day-to-day intake, sorting, assignment, and delivery of student packages and mail. Additionally, MAs support the department through various administrative and customer service tasks that contribute to a high-quality residential experience.

General Expectations:

  • The Mail Assistant serves as a resource for residents, families and other campus community members and should be familiar with the services and opportunities provided by Housing and Residential Experience, the Division of Student Affairs, and other university departments and offices.
  • MAs are expected to support the vision, mission, values, philosophies, and goals of Housing and Residential Experience.
  • MAs will help to create and maintain a friendly, respectful, and accepting atmosphere in the Housing Package Center.
  • MAs will be expected to arrive on time for all scheduled shifts and communicate any necessary absences in a timely manner.

Role Modeling and Leadership Expectations:

  • MAs are responsible for abiding by and upholding all residence hall and university policies.
  • MAs are expected to serve as positive role models for all students. This includes but is not limited to modeling appropriate and mature behavior on and off campus as well as via digital and social media.
  • MAs are expected to fulfill all expectations as described and provided in training sessions and through direct supervision.

Administrative Responsibilities:

  • Keep record of all packages and mail received using the computer system.
  • Sort and categorize packages to facilitate efficient dispatch and ensure the safe handling of sensitive items by preventing them from being mixed with non-sensitive deliveries.
  • Collect packages and mail from residents.
  • Monitor and replenish inventory to ensure essential supplies remain stocked and available for continuous operations.
  • Respond promptly and courteously to resident inquiries regarding packages and mail, delivering exceptional customer service and ensuring a positive and helpful experience.
  • Keep the mailroom organized by properly arranging the packages and mail coming in to maximize the package center workflow.
  • Perform clerical tasks such as filing, copying, and faxing documents as needed.
  • Complete special projects as assigned by Housing staff.

Customer Service Responsibilities

  • MAs are expected to maintain a positive attitude that is welcoming to residents/guests and supportive of the University and the department.
  • MAs are expected to provide excellent customer service to students and parents by phone, email and in-person regarding any Housing and Residential Experience questions, concerns, and requests.
  • MAs will be expected to maintain a high level of professionalism in communication with residents, staff and guests.

Minimum Qualifications

  • Undergraduate students must have a 2.5 cumulative GPA at the time of application and maintain a 2.5 cumulative and semester GPA for the duration of their employment. Graduate students must have a 3.0 cumulative GPA at the time of application and maintain a 3.0 cumulative and semester GPA for the duration of their employment. Grade checks will be completed at the end of every semester.
  • Must be registered for at least six (6) credit hours as an undergraduate student or three (3) credit hours as a graduate student.
  • Must be and remain in good standing with the Department and University, including no significant or recent student conduct history. All Housing Student Assistants will consent to conduct checks prior to hiring and at the end of every semester.
  • Prior to employment, must successfully complete a background check and fingerprinting as per the Housing and Residential Experience requirement.
  • Must be available to work 20 hours per week during the academic semesters.
Who May Apply

  • Students enrolled at FIU, who have been awarded Federal Work Study (FWS) as part of their Financial Aid Award package.
  • Student must be enrolled with a minimum of six (6) credit hours in a course of study leading to a degree or a Financial Aid eligible certificate, during Fall, Spring, and Summer semesters.
  • Upon credits decreasing, award being canceled, or graduating, FWS employment must end.
Work Schedule

  • Available between 8:30AM - 6:00 PM.
  • The Housing Package Center is open Monday through Saturday.
  • Must be available to work 20 hours per week during the academic semesters.
