The University of Wisconsin-Platteville is accepting applicants for a full-timeAdministrative Specialist. This position provides professional-level support across several departments including: Continuing Education, Center for Excellence in Teaching & Learning (CETL), Karrmann Library, Textbook Center, Office of Research and Sponsored Programs (ORSP). As directed, responsibilities include managing reports, overseeing operational workflows,logistics, coordinating communication efforts, and assisting with recruitment and compliance initiatives. To increase the capacity of administrative support to these departments, this position supervises a team of student employees and ensures effective communication and operational efficiency within the departments.

This is a full-time, 12-month position with a salary of $45,000 per year. The University of Wisconsin System offers anationally top ranked retirement planand acomprehensive benefits package.

Key Job Responsibilities:
  • Support administrative needs of Continuing Education, Center for Excellence in Teaching & Learning (CETL), Karrmann Library, Textbook Center, and Office of Research and Sponsored Programs (ORSP).

  • Serve as a primary point of contact for CETL, Continuing Education and ORSP via phone, in person, and through other communication mediums.

  • Maintain and update departmental SharePoint sites and other internal documentation platforms.

  • Supervise a team of student employees, assigning tasks and supporting their growth and development.

  • Develop and implement logistical frameworks and communication strategies to support faculty and instructors, ensuring accessibility.

  • Support undergraduate research coordination logistics as needed.

  • Allocate resources and manage logistical frameworks for ongoing OER grant programs.

  • Assist with recruitment processes for relevant programs.

  • Schedule logistics and secure resources for meetings, conferences, travel, and operational tasks.

  • Provide general administrative support to ORSP, CETL, Library and Continuing Education staff, including data entry, proofreading, and formatting documents.

  • Maintain and update databases as needed.

  • Assist with scheduling, document preparation, and logistics for meetings, workshops, and training sessions.

  • Perform other responsibilities as delegated, within the scope of training and qualifications.

Required Qualifications:
  • Bachelor's degree from an accredited college or university.

  • Proficiency in operating a personal computer, including working knowledge of Microsoft Word, Excel, and email platforms.

  • Strong attention to detail with a high degree of accuracy; well-organized and able to maintain order in a fast-paced environment.

  • Demonstrated ability to coordinate and prioritize multiple responsibilities and manage consecutive demands in a high-traffic office setting.

  • Excellent customer service skills with the ability to interact professionally and effectively with a diverse range of individuals.

  • Ability to learn and retain complex processes and clearly communicate them to others in a straightforward and helpful manner.
