Description
Position: Administrative Assistant - Marketing and Development
Department: Marketing and Development
Reports to: Head of Development & Marketing

Summary Provides a range of technical and administrative duties in support of the Marketing and Development team in a highly effective and efficient manner. Responsible for maintaining confidentiality, accurate information, and other records and correspondence necessary to support the team. Assists with the development of written content, tracking of data and data reporting, advocacy efforts, and other activates to enable the organization to maintain a high level of customer service and to support the Marketing and Development team. Duties and Responsibilities
- Responsible for providing technical and administrative support to the Head of Development & Marketing including but not limited to:
- Creates and modifies documents such as reports, memos, and letters; including writing content, taking and transcribing minutes/notes, and preparing confidential correspondence and other documents.
- Provides support by attending team meetings, creating dashboards, spreadsheets and ad hoc reports; as well as conducting research to support team projects.
- Schedules appointments and makes reservations and travel arrangements.
- Composes or collects visual and written materials for meetings, speeches and presentations; including but not limited to text, graphics, and statistical data reports.
- Greets and assists guests; coordinates food and beverages as required for meetings.
- Responsible for marketing & development office supply orders and ensuring timely receipt and adequate levels of inventory. Maintains marketing & development office supplies inventory records.
- Submits purchase orders for supplies, visa cards, legal invoices and other purchases as needed and on a timely basis. Assists with tracking various expenditures and providing accurate reports as requested.
- Assists in maintaining the CRM system to include: data entry, thank you letters, running queries/reports, and preparing donation export for Finance for a monthly reconciliation.
- Provides specific support to the Marketing & Development team including, but not limited to, the following:
- Preparing bulk mailings.
- Print, collate, package and ship items to retail stores.
- Assist with orders and ship name tags for retail and administrative employees.
- Approval and ordering of business cards, awards/plaques as needed.
- Assist with the order fulfillment of store signage.
- Assist with the order fulfillment tracking for retail employee apparel orders.
- Assist with DGR store openings, special store activities and community events.
- Assist with the planning and execution with the Kingfish Boil.
- Serve as lead for implementation of the FreeWill platform and assist with its marketing efforts.
- Exhibits comfortability with artificial intelligence (AI) programs to support marketing and development efforts.
- Conduct mail merges and bulk mailings for projects.
- Other duties as assigned including support to other departments, as needed.
- Promotes an environment of workplace safety. Assures that duties are performed in a safe manner and safety requirements are adhered to.
- Communicates progress, problems, and concerns to the Head of Development & Marketing.
Qualifications
Education and Experience
- Associates Degree in Business Administration or relevant field; or HSD/GED and two (2) years' relevant experience which enables the individual to meet the standards and expectations of the position.
- Two (2) years' experience in administrative field required.

- Proficient in Microsoft Office Suite products.

- Must be able to work maturely with confidential information.

- Ability to work beyond normal schedule as needed.
- Must possess a valid driver's license and reliable vehicle or reliable transportation with the ability to travel within GKA territory.
- Ability to operate marketing department vehicle.
- Must be able to occasionally lift over 30lbs.
