Department Overview

The Business Resource Center (BRC) aims to build a strong foundation for UCOP financial operations, allowing departments to focus on their core duties. Our goal is to standardize procedures and controls to ensure maximum service to departments, as well as efficient, controlled and compliant transaction processing for administrative functions. BRC staff strive to provide excellent service while demonstrating accountability to stakeholders, including the Regents and the public.The Business Resource Center (BRC) aims to build a strong foundation for UCOP financial operations, allowing departments to focus on their core duties. Position Summary
Uses professional financial services concepts. Applies organization policies and procedures to resolve a variety of moderately complicated issues. Applies professional vendor compliance concepts to tax assignments where analysis of data requires a review of a variety of factors and from multiple sources. Has internal and external contact on a regular basis. Review and creation of supplier sites within Oracle to ensure proper tax withholding's are implemented. Review and update bank details for suppliers as well as foreign supplier review and vetting. Update and maintain suppliers w-9 and tax reporting compliance for 1099 and 1042's. Coordinate with UC System-wide Payroll to create/change suppliers to receive death benefits, ensuring that the correct tax reporting settings are used. Create guest traveler supplier profiles to be exported to Concur for non-employee travel reimbursements. This is a hybrid position with two (2) days per week onsite in Oakland, CA. Please note this posting is for two (2) positions.

Key Responsibilities

55% Establishes and maintains suppliers sites. Review all supplier documentation to ensure we have all the required and necessary backup to establish a supplier profile. Vetting of information and management of secure folder for Docusigned forms. Create/change the supplier in Oracle, ensuring that the correct tax reporting settings are used.

20% Regularly review supplier procedures for process improvements and policy/regulatory compliance.

10% Provides analytical support for the accounts payable team regarding tax compliance. review and establish foreign supplier profiles, ensuring that the correct tax reporting settings are used.

10% Assists in the editing and publishing of updates to document internal procedures as related to supplier site requirements. Manage third party review process to ensure that suppliers are screened to identify restricted suppliers (Visual Compliance is used by University of California Office of the President)

5% Under general supervision, researches and gathers information for supplier vetting; regulatory compliance related issues and / or vendor selection and support activities.

Experience
Required Qualifications

Minimum 2 years tax compliance, supplier setup and maintenance

Preferred Qualifications

Minimum 1 year non-resident alien tax compliance procedures

Required Qualifications

Strong interpersonal skills, analytical skills, service orientation, active listening, critical thinking, attention to detail, ability to multi-task in a high volume environment, organizational skills, sound judgment and decision making.

Ability to function effectively and communicate across multiple teams verbally and in writing.

Ability to adapt to changing priorities during high volume seasons for fiscal close and year end procedures for tax reporting

Proficiency in the use of spreadsheet and database software such as Oracle.

Preferred Qualifications

Working knowledge of vendor compliance and requirements, policies and procedures.

Strong knowledge of foreign vendor compliance and required documentation

Intermediate knowledge and understanding of internal control practices and their impact on protecting University resources.

Education

Bachelor's Degree OR the equivalent of 6 years related experience without a Bachelor's degree

Preferred Qualifications

Bachelor's degree in related area and / or 2 yrs equivalent experience / training
