Job Overview:

The Site Administrator at an RWJBH Facility provides administrative support to the service line Hospitalist, ED and ICU Programs, medical directors and provider teams. The Site Administrator will maintain, and if necessary create, efficient systems to handle routine duties, in addition to providing outreach to community primary care physicians and assisting with billing and charge capture functions.

Qualifications:

Required:

  • High School Diploma or Equivalent
  • Able to work relatively independently with limited direct supervision
  • Detail oriented with proven ability to work effectively under conditions requiring accuracy
  • Courteous and professional demeanor with strong interpersonal and verbal and written communication skills
  • Excellent grammar, editing and proofreading skills
  • Internet and Computer proficiency with Microsoft Office products email, Microsoft Calendar, Word, Excel, and PowerPoint
  • Appointment setting initial phone call and Calendar invite with copy to medical director and director of hospitalist programs

Preferred:

  • College Degree

Essential Functions:

Programmatic Support

  • Onboards new professional staff and provides orientation support to medical and program directors
  • Orders lab coats, scrubs, and business cards for HM, ED, and ICU staff
  • Assists with professional provider staffing schedules and on-call changes
  • Maintains and distributes daily patient census logs and hospitalist assignments
  • Manages faxes/emails for lab results and delivers to staff with follow-up actions
  • Supports professional staff workflow efficiency
  • Coordinates meeting logistics (AV, food, supplies, clean-up, etc.)
  • Manages communications via phone, email, fax, and mail
  • Proposes and implements operational process improvements
  • Schedules appointments for Medical Directors with staff, vendors, and hospital personnel
  • Orders supplies for all teams
  • Coordinates with medical students and resident teams individually
  • Provides cross-coverage during staff vacations
  • Communicates with funeral homes for death certificate matters
  • Maintains office binder and submits IT tickets
  • Enters CAMs for Medical Directors (HM, ED, ICU)
  • Coordinates with answering service
  • Handles ad hoc projects, reports, and leadership requests
  • Maintains provider files for CME and license renewals

Reporting

  • Provides daily operational reports to the medical director
  • Tracks and monitors performance metrics and core measures
  • Handles ad hoc MSO report requests
  • Responds to daily medical records queries
  • Compiles monthly reports for C-suite and PCP updates

Billing and Charge Capture

  • Verifies accurate charge entries in the billing system
  • Coordinates with HIM and admin for documentation compliance
  • Works with scribes for timely charting and billing
  • Follows up with providers on incomplete reports and clarifications
  • Sends weekly feedback for HM, ED, and ICU
  • Monitors and escalates suspension lists

Community Liaison Responsibilities

  • Collaborates with site directors to identify PCP and referral opportunities
  • Prepares brochures and talking points with directors for PCP outreach
  • Visits and educates PCP offices about hospitalist services
  • Maintains PCP database for hospitalist and charge capture
  • Reports monthly on outreach and PCP engagement progress
  • Supports patient satisfaction initiatives with director
  • Prepares spreadsheets, presentations, and outcome reports for leadership
  • Develops dashboards and reporting systems for hospitalist performance
  • Conducts daily patient visits to explain hospitalist care
  • Sends H&P and discharge summaries to PCPs for continuity of care
  • Assists in resolving PCP and patient complaints with directors
