Temple University's Law School Department is searching for an Assistant Director of Special Events!

Position Summary

This high-visibility role leads the vital events program at Temple Law through strategic planning, coordinating, and implementing events at the Law School including but not limited to lectures/workshops; meetings; luncheons/dinners; and receptions. Clients may include but are not limited to faculty, administration, law school departments, other Temple University schools, colleges, administrative offices, and non-Temple University entities. To fulfill duties, the Assistant Director will work with university colleagues on event goals, budget and expenses, and liaise with School and University Offices including Law School IT and Marketing & Communications; TU Catering; TU Office of Facilities Management; TU Parking Services; and TU Campus Safety, as appropriate. Assistant Director will manage registration processes; establish event location/s; contract with caterers; coordinate food selection, per budget and requests of the event host; event setups; and establish timelines and coordinate all events according to strategic plan-optimizing prices with vendors and reviewing expenses to ensure adherence to budget set by event host. Provide final expenses to the host after the event concludes. Collect metrics and provide reports to assist future decisions and strategic growth. Manage administration processes, such as submitting contracts to university counsel as appropriate. Serve as point of contact for event-day logistics.

Oversee the marketing and management of Shusterman Hall, the Law School's Conference Center, to university and external clients. Work with Law School Administration to establish annual rental revenue targets. Create and manage budgets for client inquiries. Track net revenue. Oversee workflows for contractual documents including rental memos to university clients and Facility Use Agreements (FUA) and certificates of insurance (COI) for external clients. Liaise with University Offices for final billing to external clients. Serve as point of contact for event-day logistics.

Oversee the Law School's master calendar for three law school buildings: Klein Hall, Barrack Hall, and Shusterman Hall. Facilitate all room assignments, including cancellations and make-ups, using LiveWhale, which publishes to the Law School web calendar (https://calendar.law.temple.edu/).

This position requires the ability to work and communicate professionally at all levels within the Law School and Temple University. This position requires agility and flexibility, often handling rapidly changing situations.

Schedule may include early mornings, evenings, and weekends for pre-scheduled events.

Performs other duties as assigned

Required Education and Experience:

*Bachelor's degree and at least four years of directly related events management experience.

*Budget management experience.

*Demonstrated experience managing web calendars.

*Experience in Microsoft (Word, Excel, PowerPoint, Teams, etc.).

*An equivalent combination of education and experience may be considered.

Required Skills and Abilities:

*The ability to work in a high-volume, dynamic work environment with flexibility and professionalism.

*Ability to effectively work with officers of the university, faculty, students, staff, and personnel required.

*Excellent interpersonal and customer service skills.

*Problem-solving skills and independent judgment; ability to perform assigned duties with minimal supervision.

*Strong organizational skills and attention to detail.

*Demonstrated ability to be creative and innovative.

*Ability to take initiative, work independently and in a team environment, and complete tasks in a timely manner.

*Proficiency in Microsoft (Word, Excel, PowerPoint, Teams, etc.)

*Excellent verbal and written communication skills.

*Must be task, detail, schedule, and priority oriented.

*Must possess the ability to work well under pressure.

*Ability to work some early mornings, nights and/or weekends, as necessary.

Preferred Skill and Abilities:

*Higher education experience.
