Description

The Executive Assistant supports two C-suite leaders at our Minnetonka headquarters. This high-visibility, fast-paced role requires sound judgment, discretion, and communication skills. The Executive Assistant will play an important role in enabling the effectiveness of two senior leaders by managing complex schedules, coordinating cross-functional meetings, handling sensitive information, and serving as a liaison between executive leadership and internal/external stakeholders. Performs other duties as assigned.

This is an on-site position, Monday through Friday, and will ensure continuity, efficiency, and high-level support.

Key Accountabilities:



  • Effective Calendar Management


    • Proactively manage complex, high-volume calendars for two senior executives



    • Schedule meetings, anticipate conflicts, and ensure alignment with business priorities




  • Administrative Support


    • Organize, prepare, and distribute agendas and materials for meetings



    • Attend meetings as needed to take notes, track follow-ups, and ensure timely completion of action items



    • Serve as a key point of contact for internal teams and external partners visiting the Minnetonka office



    • Ensure the executives' workspaces and meeting logistics run smoothly




  • Coordination of Activities and Data Management


    • Interface effectively with other executive assistants and department leaders across the company to align calendars, coordinate joint efforts, and support enterprise initiatives



    • Assist with project coordination and tracking for strategic initiatives led by the executives, as needed




  • Communication


    • Draft, review, and manage professional communications on behalf of senior executives, including emails, memos, and presentations



    • Handle sensitive information and matters with a high degree of confidentiality and professionalism




  • Invoice and Expense Report Processing


    • Coordinate domestic travel arrangements, itineraries, and accommodations



    • Process related expenses in a timely and accurate manner






Minimum Qualifications:



  • Bachelor's degree or equivalent experience
  • 4+ years of experience supporting senior-level executives in a fast-paced, corporate environment
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, SharePoint, Zoom)


Skills and Abilities:



  • Exceptional organizational skills and attention to detail
  • Proven ability to manage multiple priorities while maintaining flexibility and responsiveness
  • Excellent verbal and written communication skills
  • Demonstrated professionalism, discretion, and judgment
  • Experience supporting more than one executive simultaneously
  • Prior experience in health care, technology, or strategy functions preferred
  • Experience working within or supporting project-based work or change/transformation initiatives preferred


This position is an Office role, which requires an employee to work from the designated office, Minnetonka, MN, 5 days a week.

The full salary range for this position is $68,600-$118,000. Annual salary range placement will depend on a variety of factors including, but not limited to, education, work experience, applicable certifications and/or licensure, the position's scope and responsibility, internal pay equity and external market salary data.
