Administrative Assistant

Position Summary:

As Administrative Assistant to our VP of IT & Business Optimization in our Charleston office, you will provide general administrative support to the team.

Requirements:

  • Must be a US citizen with the ability to obtain/maintain a DoD Secret security clearance



Essential Functions and Responsibilities:

  • Schedule and coordinate meetings, appointments and travel arrangements
  • Assist in maintaining IT documentation, including asset inventories, software license records, vendor contracts, and procedural manuals
  • Manage procurement of IT supplies and equipment; track orders and maintain inventory records
  • Support tracking of IT projects, deadlines, and deliverables, ensuring documentation is up-to-date
  • Help with onboarding and offboarding processes for employees, including coordinating equipment setup and retrieval
  • Assist in processing invoices, purchase orders, and expense reports related to IT services and equipment
  • Greet and assist vendors in a courteous and professional manner
  • Maintain accurate records and organize documents efficiently
  • Maintain confidentiality and handle sensitive information appropriately
  • Support team members and leadership with administrative projects as assigned


Required Education, Skills, and Experience:

  • High School diploma
  • 2-5 years of administrative support experience
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Excellent verbal and written communication skills
  • Ability to multitask and manage priorities in a fast-paced environment
  • Strong organizational skills with attention to detail
  • Professional demeanor and a collaborative, team-oriented attitude


Physical Demands and Expectations:

  • Regular physical activity to include walking, climbing stairs, bending, stooping, reaching, lifting (up to 30 pounds), and standing; occasional prolonged sitting
  • Ability to speak, read, hear and write, with or without assistance
  • Ability to use phone and computer systems, copier, fax and other office equipment
