DESCRIPTION OF WORK

In this position, you will offer administrative and confidential assistance to the Deputy Superintendent, with tasks delegated by both the Deputy Superintendent and CS2. Your role is crucial in ensuring the efficient and effective operation of the Deputy's Office. You will leverage your leadership abilities to oversee a clerical team assigned to housing units while also supporting various additional responsibilities. This includes supervising staff through work assignments, training, performance evaluations, and addressing employee concerns. You will also ensure that job descriptions are up-to-date and manage office coverage during the absence of regular personnel.

Additionally, you will be responsible for taking accurate minutes during assigned meetings, ensuring they reflect the discussions held. A laptop or computer will be available for your use, and you will need to transcribe and proofread the minutes before submitting them for final review. Furthermore, you will manage the scheduling and cancellation of appointments, conferences, and meetings for the Deputy Superintendent, coordinating with both interdepartmental staff and external agency personnel. By understanding the Deputy Superintendent's priorities, you will maintain an organized calendar and compile necessary data and agendas for all engagements, distributing this information to the relevant parties.

Work Schedule and Additional Information:
  • Full-time employment, 37.5 hour work week
  • Work hours are 8:00 AM to 4:00 PM, Monday - Friday, with a 30-minute lunch.
  • Telework: You will not have the option to telework in this position.
  • Salary: Selected candidates who are new to employment with the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $40,685 (before taxes).
  • This position is eligible for full retirement benefits at age 60 or 65.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • One year as a Clerical Assistant 2 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • One year of moderately complex clerical experience; or
  • An equivalent combination of experience and training.

Additional Requirements:

  • Successful completion of basic training in Elizabethtown, PA is required.
  • You must be able to perform essential job functions.

  • You must pass a background investigation and meet Criminal Justice Information Services (CJIS) compliance requirements.
