Overview

As the first point of contact for most customers (in person, phone, email), walk ins, guests, etc., the Receptionist serves as the "face" of TEC Equipment and is expected to provide a high level of customer service through welcoming, professional, and efficient interactions. In addition to general reception tasks, this position supports branch and corporate employees by completing administrative duties such as processing mail, filing, and responding to other miscellaneous requests.

Responsibilities

    Maintain professional presence on the phone and listen to the caller's needs to determine who to forward to. Correctly operate a multi-line phone system; screen and manage incoming calls by routing customer, vendor, and other inquiries to the correct individual, department, or branch.
  • Answer basic questions as appropriate. Ensure departmental phone list is regularly updated.
  • Greet and assist customers and other visitors. Direct them to appropriate personnel as necessary.
  • Receive, sort, and distribute packages daily. Process outgoing mail (this includes external and interoffice mailings). Maintain clear systems of organization.
  • Order supplies (boxes, toner, envelopes) and ensure adequate inventories maintained. Maintain clear systems of organization.
  • Follow branch's standard operating procedures and safety procedures with limited supervision. Maintain safe and clean reception area. Notify supervisor immediately of possible hazards in the workplace or of customers with escalated complaints.
  • Assist branch/corp employees as requested with miscellaneous needs such as helping with mailings, data entry, faxing, and more.


Qualifications

  • High school diploma or equivalent
  • Minimum one year experience in customer service, reception, or retail environment with increasing level of responsibility
  • Experience successfully prioritizing multiple tasks and working with a variety of team members and customers
  • Data-entry and multi-line phone experience required
  • Strong customer service skills
  • Solid oral and written communication skills in English
  • Strong organizational and time management skills
  • Basic to intermediate knowledge Microsoft Office (including Outlook, Word, and Excel)
  • Professional demeanor and appearance
  • Ability to work independently, prioritize, and use sound judgment
  • Ability to be resourceful and proactive when issues arise
  • Ability to operate and troubleshoot issues with multi-line phones, printers, and other standard office equipment
  • Ability to be dependable in attendance
  • Bilingual in Russian/Ukrainian, and/or Spanish preferred
